Use the Task Management Access Database template

Use the Access Task Management Database template to track a group of work items that you or your team need to complete. You can also search and filter task details, show or hide columns, send e-mail messages, and map task owners’ addresses.

Note:  The Task Management database template has been updated over the last few years. These instructions refer to the latest version of the template available for download. If the steps below don't match what you're seeing, you're probably using an older version of the template.

Using the database

In this article, we cover the basic steps of using the Task Management Database template.

Prepare the database for use

When you first open the database, Access displays the Welcome form. To prevent this form from displaying the next time you open the database, clear the Show Welcome when this database is opened check box.

Close the Welcome form to begin using the database.

To make sure all the database content is enabled, in the Message Bar, click Enable this content .

Search for a task or contact

The Quick Search box lets you quickly find a task on the Task List form, or a contact on the Contact List form.

Type the text you want to search for in the Quick Search box, and then press ENTER.

Access filters the list to show only those records that contain the text you searched for. To return to the full list, click Clear the current search . (It's the X inside the search box.)

Filter the Task List

On the Task List form, you can filter the list of tasks, and save your favorite filters for future use.

Apply filters by right-clicking the form and selecting the filters you want.

Click Save Filter .

On the Filter Details form, enter a filter name and description, and then click Close .

Use the Filter Favorites box to apply a saved filter, or click (Clear Filter) to remove the filter.

Show or hide columns

On the Task List form and the Contact List form, some fields (columns) are hidden by default. To change which fields are displayed:

Click Show/Hide Fields .

In the Unhide Columns dialog box, select the check box beside each column that you want to show. Clear the check box to hide the column.

Display task or contact details

The Task Details form and the Contact Details form let you view and enter more information about an item. To display the Task Details form or the Contact Details form:

On the Task Details form or the Contact Details form, click Open next to the item that you want to see.

Add attachments

On the Task Details form and the Contact Details form, you can add pictures and other attachments.

Under the picture frame on the Task Details form, click Add or Remove Attachments .

Under the picture frame on the Contact Details form, click Edit Picture .

In the Attachments dialog box, click Add .

In the Choose File dialog box, browse to the folder that contains the file.

Select the file you want to add, and then click Open .

In the Attachments dialog box, click OK .

Note:  You can attach multiple files for each item, including different file types such as documents or spreadsheets.

Add contacts from Microsoft Outlook

If you use Microsoft Outlook, you can add contacts or tasks owners from that program without having to re-type the information.

On the Contact List form, click Add From Outlook .

In the Select Names to Add dialog box, select the names that you want to add to the database.

Click Add , and then click OK .

Display a map of a contact's address

On the Contact Details form, if you have entered a street address for the contact, you can display a map of that location:

Click Click to Map .

Display reports

The Tasks Database includes several reports, including Active Tasks , Task Details , Contact Address Book , and more. To display a report:

In the Navigation Pane, under Reports , double-click the report you want to display.

You can create your own custom reports. For more information, see the article Create a simple report .

Modify the Tasks Management Database template

Customize the Tasks database by adding a new field to the Tasks table, and then adding that field to the Task List form, the Task Details form, and the Task Details report.

Add a field to the Tasks table

Close all open tabs.

In the Navigation Pane, double-click the Tasks table.

Scroll to the right until you see the column named Add New Field . Double-click the column heading, and then type in the field name.

The first time you enter data in the column, Access sets the data type for you.

Add a field to a form or report

Once a field has been added to a table, you can then add it to a form or report.

Right-click the form or report in the Navigation Pane and then click Layout View .

On the Format tab, in the Controls group, click Add Existing Fields .

Drag the field you want from the Field List to the form or report.

Databases are essential components for many modern applications and tools. As a user, you might interact with dozens or hundreds of databases each day as you visit websites, use applications on your phone, or purchase items at the grocery store. As a developer, databases are the core component used to persist data beyond the lifetime of your application. But what exactly are databases and why are they so common?

In this article, we'll go over:

  • what databases are
  • how they are used by people and applications to keep track of various kinds of data
  • what features databases offer
  • what types of guarantees they make
  • how they compare to other methods of data storage

Finally, we'll discuss how applications rely on databases for storing and retrieving data to enable complex functionality.

Databases are logical structures used to organize and store data for future processing, retrieval, or evaluation. In the context of computers, these structures are nearly always managed by an application called a database management system or DBMS . The DBMS manages dedicated files on the computer's disk and presents a logical interface for users and applications.

Database management systems are typically designed to organize data according to a specific pattern. These patterns, called database types or database models , are the logical and structural foundations that determine how individual pieces of data are stored and managed. There are many different database types, each with their own advantages and limitations. The relational model , which organizes data into cross-referenced tables, rows, and columns, is often considered to be the default paradigm.

DBMSs can make databases they govern accessible via a variety of means including command line clients, APIs, programming libraries, and administrative interfaces. Through these channels, data can be ingested into the system, organized as required, and returned as requested.

Databases store data either on disk or in-memory.

On disk storage is generally said to be persistent , meaning that the data is reliably saved for later, even if the database application or the computer itself restarts.

In contrast, in-memory storage is said to be ephemeral or volatile . Ephemeral storage does not survive application or system shutdown. The advantage of in-memory databases is that they are typically very fast.

In practice, many environments will use a mixture of both of these types of systems to gain the advantages of each type. For systems that accept new writes to the ephemeral layer, this can be accomplished by periodically saving ephemeral data to disk. Other systems use read-only in-memory copies of persistent data to speed up read access. These systems can reload the data from the backing storage at any time to refresh their data.

While the database system takes care of how to store the data on disk or in-memory, it also provides an interface for users or applications. The interfaces for the database must be able to represent the operations that external parties can perform and must be able to represent all of the data types that the system supports.

According to Wikipedia , databases typically allow the following four types of interactions:

  • Data definition : Create, modify, and remove definitions of the data's structure. These operations change the properties that affect how the database will accept and store data. This is more important in some types of databases than others.
  • Update : Insert, modify, and delete data within the database. These operations change the actual data that is being managed.
  • Retrieval : Provide access to the stored data. Data can be retrieved as-is or can often be filtered or transformed to massage it into a more useful format. Many database systems understand rich querying languages to achieve this.
  • Administration : Other tasks like user management, security, performance monitoring, etc. that are necessary but not directly related to the data itself.

Let's go over these in a bit more detail below.

Data definitions control the shape and structure of data within the system

Creating and controlling the structure that your data will take within the database is an important part of database management. This can help you control the shape, or structure, of your data before you ingest it into the system. It also allows you to set up constraints to make sure your data adheres to certain parameters.

In databases that operate on highly regular data, like relational databases, these definitions are often known as the database's schema . A database schema is a strict outline of how data must be formatted to be accepted by a particular database. This covers the specific fields that must be present in individual records as well as requirements for values such as data type, field length, minimum or maximum values, etc. A database schema is one of the most important tools a database owner has to influence and control the data that will be stored in the system.

Database management systems that value flexibility over regularity are often referred to as schema-less databases . While this seems to imply that the data stored within these databases has no structure, this is usually not the case. Instead, the database's structure is determined by the data itself and the application's knowledge of and relation to the data. The database usually still adheres to a structure, but the database management system is less involved in enforcing constraints. This is a design choice that has benefits and disadvantages depending on the situation.

Data updates to ingest, modify, and remove data from the system

Data updates include any operation that:

  • Enters new data into the system
  • Modifies existing entries
  • Deletes entries from the database

These capabilities are essential for any database, and in many cases, constitute the majority of actions that the database system processes. These types of activities — operations that cause changes to the data in the system — are collectively known as write operations .

Write actions are important for any data source that will change over time. Even removing data, a destructive action, is considered a write operation since it modifies the data within the system.

Since write operations can change data, these actions are potentially dangerous. Most database administrators configure their systems to restrict write operations to certain application processes to minimize the chance of accidental or malicious data mangling. For example, data analytics, which use existing data to answer questions about a website's performance or visitors' behavior, require only read permission. On the other hand, the part of the application that records a user's orders needs to be able to write new data to the database.

Retrieving data to extract information or answer specific questions

Storing data is not very useful unless you have a way of retrieving it when you need it. Since returning data does not affect any of the information currently stored in the database, these actions are called read operations . Read operations are the primary way of gathering data already stored within a database.

Database management systems almost always have a straightforward way of accessing data by a unique identifier, often called a primary key . This allows access to any one entry by providing the key.

Many systems also have sophisticated methods of querying the database to return data sets that match specific criteria or return partial information about entries. This type of querying flexibility helps the database management system operate as a data processor in addition to its basic data storage capabilities. By developing specific queries, users can prompt the database system to return only the information they require. This feature is often used in conjunction with write operations to locate and modify a specific record by its properties.

Administering the database system to keep everything running smoothly

The final category of actions that databases often support is administrative functions. This is a broad, general class of actions that helps support the database environment without directly influencing the data itself. Some items that might fit into this group include:

  • Managing users, permissions, authentication, and authorization
  • Setting up and maintaining backups
  • Configuring the backing medium for storage
  • Managing replication and other scaling considerations
  • Providing online and offline recovery options

This set of actions aligns with the basic administrative concerns common to any modern application.

Administrative operations might not be central to core data management functionality, but these capabilities often set similar database management systems apart. Being able to easily back up and restore data, implement user management that hooks into existing systems, or scale your database to meet demand are all essential features for operating in production. Databases that fail to pay attention to these areas often struggle to gain adoption in real world environments.

Given the above description, how can we generalize the primary responsibilities that databases have? The answer depends a lot on the type of database being used and your applications' requirements. Even so, there are a common set of responsibilities that all databases seek to provide.

Safeguarding data integrity through faithful recording and reconstituting

Data integrity is a fundamental requirement of a database system, regardless of its purpose or design. Data loaded into the database should be able to be retrieved dependably without unexpected modification, manipulation, or erasure. This requires reliable methods of loading and retrieving data, as well as serializing and deserializing the data as necessary to store it on physical media.

Databases often rely on features to verify data as it is written or retrieved, like checksumming , or to protect against issues caused by unexpected shutdowns, using techniques like write-ahead logs , for example. Data integrity becomes more challenging the more distributed the data store is, as each part of the system must reflect the current desired state of each data item. This is often achieved with more robust requirements and responses from multiple members whenever data is changed in the system.

Offering performance that meets the requirements of the deployment environment

Databases must perform adequately to be useful. The performance characteristics you need depend heavily on the particular demands of your applications. Every environment has unique balance of read and write requests and you will have to decide on what acceptable performance means for both of those categories.

Databases are generally better at performing certain types of operations than others. Operational performance characteristics are often a reflection of the type of database used, the data schema or structure, and the operation itself. In some cases, features like indexing , which creates an alternative performance-optimized store of commonly accessed data, can provide faster retrieval for these items. Other times, the database may just not be a good fit for the access patterns being requested. This is something to consider when deciding on what type of database you need.

Setting up processes to allow for safe concurrent access

While this isn't a strict requirement, practically speaking, databases must allow for concurrent access. This means that multiple parties must be able to work with the database at the same time. Records should be readable by any number of users at the same time and writable when not currently locked by another user.

Concurrent access usually means that the database must implement some other fundamental features like user accounts, a permissions system, and authentication and authorization mechanisms. It must also develop strategies for preventing multiple users from attempting to manipulate the same data concurrently. Record locking and transactions are often implemented to address these concerns.

Retrieving data individually or in aggregate

One of the fundamental responsibilities of a database is the ability to retrieve data upon request. The requests might be for individual pieces of data associated with a single record, or they may involve retrieving the data found in many different records. Both of these cases must be possible in most systems.

In most databases, some level of data processing is provided by the database itself during retrieval. These can include the following types of operations:

  • Searching by criteria
  • Filtering and adhering to constraints
  • Extracting specific fields
  • Averaging, sorting, etc.

These options help you articulate the data you'd like and the format that would be most useful.

Before we move on, we should briefly take a look at what your options are if you don't use a database.

Most methods that store data can be classified as a database of some kind. A few exception include the following.

Local memory or temporary filesystems

Sometimes applications produce data that is not useful or that is only relevant for the lifetime of the application. In these cases, you may wish to keep that data in memory or offload it to a temporary filesystem since you won't need it once the application exits. For cases where the data is never useful, you may wish to disable output entirely or log it to /dev/null .

Serializing application data directly to the local filesystem

Another instance where a database might not be required is where a small amount of data can be serialized and deserialized directly instead. This is only practical for small amounts of data with a predictable usage pattern that does not involve much, if any, concurrency. This does not scale well but can be useful for certain cases, like outputting local log information.

Storing file-like objects directly to disk or object-storage

Sometimes, data from applications can be written directly to disk or an alternative store instead of storing into a database. For instance, if the data is already organized into a file-oriented format, like an image or audio file, and doesn't require additional metadata, it might be easiest to store it directly to disk or to a dedicated object store.

Almost all applications and websites that are not entirely static rely on a database somewhere in their environment. The primary purpose of the database often dictates the type of database used, the data stored, and the access patterns employed. Often multiple database systems are deployed to handle different types of data with different requirements. Some databases are flexible enough to fulfill multiple roles depending on the nature of different data sets.

Let's take a look at an example to discuss the touchpoints a typical web application may have with databases. We'll pretend that the application contains a basic storefront and sells items it tracks in an inventory.

Storing and processing site data

One of the primary uses for databases is storing and processing data related to the site. These items affect how information on the site is organized and, for many cases, constitute most of the "content" of the site.

In the example application mentioned above, the database would populate most of the content for the site including product information, inventory details, and user profile information. This means that the database or some intermediary cache would be consulted each time a product list, a product detail page, or a user profile needs to be displayed.

A database would also be involved when displaying current and past orders, calculating shipping cost, and applying discounts by checking discount codes or calculating frequent customer rewards. Our example site would use the database system to correctly build orders by combining product information, inventory, and user information. The composite information that is recorded in an order would be stored in a database again to track order processing, allow returns, cancel or modify orders, or enable better customer support.

Analyzing information to help make better decisions

The actions in the last category were related to the basic functionality of the website. While these are very important for handling the data requirements of the application layer, they don't represent the entire picture.

Once your web application begins registering users and processing orders, you probably want to be able to answer detailed questions about how different products are selling, who your most profitable users are, and what factors influence your sales. These are analytical questions that can be run at any time to gather up-to-date intelligence about your organization's trends and performance.

These types of operations are often called business intelligence or analytics . Together, they help organizations understand what happened in the past and to make informed changes. Database systems store most of the data used during these processes and must provide the appropriate tooling or querying capabilities to answer questions about it.

In our example application, the databases could be queried to answer questions about product trends, user registration numbers, which states we ship to the most, or who our most loyal users are. These relatively basic queries can be used to compose more complex questions to better understand and control factors that influence product performance.

Managing software configuration

Some types of databases are used as repositories for configuration values for other software on the network. These serve as a central source of truth for configuration values on the network. As new services are started up, they are configured to check the values for specific keys at the configuration database's network address. This enables you to store all of the information needed to bootstrap services in one location.

After bootstrapping, applications can be configured to watch the keys related to their configuration for changes. If a change is detected, the application can reconfigure itself to use the new configuration. This process is sometimes orchestrated by a management process that rolls out the new values over time by spinning old services down as the new services come up, changing over the active configuration over time to maintain availability.

Our application could use this type of database to store persistent configuration data for our entire application environment. Our application servers, web servers, load balancers, messaging queues, and more could be configured to reference a configuration database to get their production settings. The application's developers could then modify the behavior of the environment by tweaking configuration values in a central location.

Collecting logs, events, and other output

Running applications that are actively serving requests can generate a lot of output. This includes log files, events, and other output. These can be written to disk or some other unmanaged location, but this limits their usefulness. Collecting this type of data in a database makes it easier to work with, spot patterns, and analyze events when something unexpected happens or when you need to find out more about historical performance.

Our example application might collect logs from each of our systems in one database for easier analysis. This can help us find correlations between events if we're try to analyze the source of problems or understand the health of our environment as a whole.

Separately, we might collect metrics produced by our infrastructure and code in a time series database , a database specifically designed to track values over time. This database could be used to power real time monitoring and visualization tools to provide the application's development and operations teams with information about performance, error rates, etc.

Databases are fundamental to the work of many different roles within organizations. In smaller teams, one or a few individuals may be responsible for carrying out the duties of various roles. In larger companies, these responsibilities are often segmented into discrete roles performed by dedicated individuals or teams.

Data architects

Data architects are responsible for the overall macro structure of the database systems, the interfaces they expose to applications and development teams, and the underlying technologies and infrastructure required to meet the organization's data needs.

People in this role generally decide on appropriate database model and implementation that will be used for different applications. They are responsible for implementing database decisions by investigating options, deciding on technology, integrating it with existing systems, and developing a comprehensive data strategy for the organization. They deal with the data systems holistically and have a hand in deciding on and implementing data models for various projects.

DBAs (database administrators)

Database administrators , or DBAs, are individuals who are responsible for keeping data systems running smoothly. They are responsible for planning new data systems, installing and configuring software, setting up database systems for other parties, and managing performance. They are also often responsible for securing the database, monitoring it for problems, and making adjustments to the system to optimize for usage patterns.

Database administrators are experts on both individual database systems as well as how to integrate them well with the underlying operating system and hardware to maximize performance. They work extensively with teams that use the databases to help manage capacity and performance and to help teams troubleshoot issues with the database system.

Application developers

Application developers interact with databases in many different ways. They develop many of the applications that interact with the database. This is very important because these are almost always the only applications that control how individual users or customers interact with the data managed by the database system. Performance, correctness, and reliability are incredibly important to application developers.

Developers manage the data structures associated with their applications to persist their data to disk. They must create or use mechanisms that can map their programming data to the database system so that the components can work together in harmony. As applications change, they must keep the data and data structures within the database system in sync. We'll talk more about how developers work with databases later in the article.

SREs (site reliability engineers) and operations professionals

SREs (site reliability engineers) and operations professionals interact with database systems from an infrastructure and application configuration perspective. They may be responsible for provisioning additional capacity, standing up database systems, ensuring database configuration matches organizational guidelines, monitoring uptime, and managing back ups.

In many ways, these individuals have overlapping responsibilities with DBAs, but are not focused solely on databases. Operations staff ensure that the systems that applications that the rest of the organization rely on, including database systems, are functioning reliably and have minimal downtime.

Business intelligence and data analysts

Business intelligence departments and data analysts are primarily interested in the data that is already collected and available within the database system. They work to develop insights based on trends and patterns within the data so that they can predict future performance, advise the organization on potential changes, and answer questions about the data for other departments like marketing and sales.

Data analysts can generally work exclusively with read-only access to data systems. The queries they run often have dramatically different performance characteristics than those used by the primary applications. Because of this, they often work with database replicas, or copies, so that they can perform long-running and performance intensive aggregate queries that might otherwise impact the resource usage of the primary database system.

So how do you actually go about working with databases as an application developer? On a basic level, if your application has to manage and persist state, working with a database will be an important part of your code.

Translating data between your application and the database

You will need to create or use an existing interface for communicating with the database. You can connect directly to the database using regular networking functions, leverage simple libraries, or higher-level programming libraries (e.g. query builders or ORMs).

ORMs , or object-relational mappers, are mapping layers that translate the tables found in relational database to the classes used within object-oriented program languages and vice versa. While this translation is often useful, it is never perfect. Object-relational impedance mismatch is a term used to describe the friction caused by the difference in how relational databases and object-oriented programs structure data.

Although relational databases and object-oriented programming describe two specific design choices, the problem of translating between the application and database layer is a generalized one that exists regardless of database type or programming paradigm. Database abstraction layer is a more general term for software with the responsibility of translating between these two contexts.

Keeping structural changes in sync with the database

One important fact you'll discover as you develop your applications is that since the database exists outside of your codebase, it needs special attention to cope with changes to your data structure. This issue is more prevalent in some database designs than others.

The most common approach to synchronizing your application's data structures with your database is a process called database migration or schema migration (both known colloquially simply as migration). Migration involves updating your database's structure to reflect changes as your application's data model evolves. These usually take the form of a series of files, one for each evolution, that contain the statements needed to transform the database into the new format.

Protecting access to your data and sanitizing input

One important responsibility when working with databases as a developer is ensuring that your applications don't allow unauthorized access to data. Data security is a broad, multi-layered problem with many stakeholders. Ultimately, some of the security considerations will be your duty to look after.

Your application will require privileged access to your database to perform routine tasks. For safety, the database's authorization framework can help restrict the type of operations your application can perform. However, you need to ensure that your application restricts those operations appropriately. For example, if your application manages user profile data, you have to prevent a user from manipulating that access to view or edit other users' information.

One specific challenge is sanitizing user input. Sanitizing input means taking special precautions when operating on any data provided by a user. There is a long history of malicious actors using normal user input mechanisms to trick applications into revealing sensitive data. Crafting your applications to protect against these scenarios is an important skill.

Databases are an indispensable component in modern application development. Storing and controlling the stateful information related to your application and its environment is an important responsibility that requires reliability, performance, and flexibility.

Fortunately, there are many different database options designed to fulfil the requirements of different types of applications. Back in 2017 when The Economist famously declared “Data is the new oil!”, they were simply stating the obvious that today’s most valuable companies are the ones that make the most of the data in their possession—whether willingly given or not.

Data is the lifeblood of any organization, and the management of data in IT systems remains a critical exercise, particularly in a time where data privacy regulation is a hot topic.

In this context, the role of the Database Administrator (DBA) has likely evolved over time, given the evolution of data sources , types, and storage options. Let’s review the current status and see what the future holds for DBAs.

Database Administrator

What is a DBA?

Short for database administrator, a DBA designs, implements, administers, and monitors data management systems and ensures design, consistency, quality, and security.

According to SFIA 8 , database administration involves the installing, configuring, monitoring, maintaining, and improving the performance of databases and data stores . While design of databases would be part of solution architecture, the implementation and maintenance of development and production database environments would be the work of the DBA.

What does a DBA do?

The day-to-day activities that a DBA performs as outlined in ITIL ® Service Operation include:

  • Creating and maintaining database standards and policies
  • Supporting database design, creation, and testing activities
  • Managing the database availability and performance, including incident and problem management
  • Administering database objects to achieve optimum utilization
  • Defining and implementing event triggers that will alert on potential database performance or integrity issues
  • Performing database housekeeping, such as tuning, indexing, etc.
  • Monitoring usage, transaction volumes, response times, concurrency levels, etc.
  • Identifying reporting, and managing database security issues, audit trails, and forensics
  • Designing database backup, archiving, and storage strategy

At a bare minimum, the DBA will:

  • Have an IT, computer science, or engineering educational background
  • Need to be conversant with structured query language (SQL) and relevant database technologies (whether proprietary or open source)
  • Understand coding and service management (to some degree)

Relevant database technologies include SQL Server, MySQL, Oracle, IBM Db2, and MongoDB , among others. Now, this doesn’t mean you have to be certified in all of them, but a working knowledge of a few of them is required.

The European e-Competence framework ( e-CF ) outlines five associated competencies that the DBA should have. These competences are all proficiency level 3 (on a scale of 1 to 5):

A cursory search across popular talent recruiting websites indicates additional soft skills needed by DBAs include:

  • Business awareness and understanding of business requirements of IT
  • Excellent problem-solving and analytical skills
  • Good communication, teamwork, and negotiation skills
  • Good organizational skills
  • Flexibility and adaptability
  • Excellent business relationship and user support skills

DBA career development

SFIA 8 defines four levels of responsibility for the DBA which you can map to your career development roadmap:

Level 2 (Assist)

  • Assists in database support activities

Level 3 (Apply)

  • Performs standard database maintenance and administration tasks
  • Uses database management system software and tools to collect performance statistics

Level 4 (Enable)

  • Develops and configures tools to enable automation of database administration tasks
  • Monitors performance statistics and create reports
  • Identifies and investigates complex problems and issues and recommends corrective actions
  • Performs routine configuration, installation, and reconfiguration of database and related products

Level 5 (Ensure, Advise)

  • Identifies, evaluates, and manages the adoption of database administration tools and processes, including automation
  • Develops and maintains procedures and documentation for databases. Contributes to the setting of standards for definition, security, and integrity of database objects and ensures conformance to these standards
  • Manages database configuration including installing and upgrading software and maintaining relevant documentation
  • Monitors database activity and resource usage. Optimizes database performance and plans for forecast resource needs

The DBA role is here to stay when it comes to data administration, but it is clear that the name might need some tweaking.

The digital age has resulted in the huge growth in unstructured data such as text, images, sensor information, audio, and videos, on account of e-commerce, IoT, AI and social media. As a result, the job title ‘database administrator’ seems to be giving way to ‘data administrator’, to cater for management of both structured (database) and unstructured (big data) data sets .

Since most digital organizations are no longer restricted to transactional data only, the modern day DBA must be conversant with file, block and object storage solutions.

And because of the sheer volume of data, as well as the ability to access AI/machine learning solutions to digest such data, the preferred data storage mode for most digital organizations is cloud based. Therefore, the modern DBA must become fully conversant with cloud architectures and technologies, including data lakes and big data solutions like Hadoop .

The rise of DevOps as the preferred model for end-to-end product management means that the DBA must become a comb-shaped specialist, working in an autonomous environment with platform engineers to develop automated self-service tools that software developers can utilize to create the data solutions they require for their applications.

This means the DBA will need to build software engineering capabilities as part of their repertoire.

Dbas must acknowledge data privacy.

Data protection regulation has become a key focus area for enterprises around the world. The stringent requirements and hefty fines have resulted in scrutiny of data management becoming a critical corporate governance imperative.

A database administrator, or DBA, is responsible for maintaining, securing, and operating databases and also ensures that data is correctly stored and retrieved.

In addition, DBAs often work with developers to design and implement new features and troubleshoot any issues. A DBA must have a strong understanding of both technical and business needs.

The role of DBA is becoming increasingly important in today’s information-driven business environment. Thoroughout the world, more and more organizations depend on data to discover analytical insights on market conditions, new business models, and cost-cutting measures. The global cloud computing market is also expected to expand as companies move their business operations to the cloud. Consequently, the need for qualified DBAs will only continue to grow.

The specific responsibilities of a database administrator vary depending on the size and needs of the organization they work for. However, most DBA duties will include developing and maintaining databases , ensuring data security, tuning performance, backing up data, and providing training and support to users. DBAs may also be responsible for designing databases and overseeing their construction in larger organizations.

There are several types of database administrators, each with specific duties and responsibilities. The most common types of DBAs include system administrators, database architects, database analysts, data modelers, application DBAs, task-oriented DBAs, performance analysts, data warehouse administrators, and cloud DBAs.

  • System administrators are responsible for the overall management and upkeep of a computer system, including installing and configuring software, applying security patches, and monitoring system performance.
  • Database architects design databases to meet the specific needs of an organization.
  • Database analysts collect and analyze data to help improve database performance. They may also be responsible for developing reports and providing recommendations to database administrators.
  • Data modelers create and maintain data models that depict the relationship between data elements. Data modeling is a critical component of effective database design.
  • Application DBAs are responsible for administrating databases that support applications. Specific tasks include installing and configuring applications, ensuring that data is synchronized correctly between databases, and troubleshooting application-related issues.
  • Task-oriented DBAs focus on a particular area of database administration, such as backup and recovery, security, or performance tuning. They typically have in-depth knowledge of a specific database management system (DBMS) .
  • Performance analysts monitor database performance and identify areas where improvement is needed. They may also be responsible for creating performance reports and providing recommendations to database administrators.
  • Data warehouse administrators manage databases that store data for business intelligence or decision-support applications. They are responsible for extracting data correctly, transforming the data, and loading it into the data warehouse .
  • Cloud DBAs are responsible for administrating databases hosted in a cloud computing environment, provisioning and managing database instances, setting up replication and high availability, and monitoring database performance.

The role of a database administrator has evolved significantly with the advent of cloud computing. Rather than being responsible for managing on-premises hardware and software, DBAs now need to be able to work with cloud-based platforms. This requires a different set of skills and knowledge and a different approach to work.

DBAs need to be able to work with different types of databases, such as MySQL, MongoDB, and Cassandra. They also need to be familiar with cloud-based tools and platforms, such as Amazon Web Services (AWS) and Microsoft Azure.

One of the most significant changes is that DBAs are no longer responsible for managing the underlying infrastructure. With cloud computing, this is all managed by the provider. As a result, DBAs now perform more strategic tasks, such as data analytics, user experience design, and cybersecurity. DBAs often work directly with users and business leaders on developing new ways to use data and software to automate processes, reduce costs, and stay competitive.

This requires a new set of skills from DBAs. In the past, having strong technical skills was the most important requirement. There is less need for these skills with cloud computing. Instead, DBAs need to communicate and collaborate with users to understand their needs and business environment. They also need to work with other teams, such as DevOps, to help deliver software that will solve business problems.

Overall, the traditional role of a DBA is changing significantly thanks to cloud computing. DBAs need to be able to adapt to these changes to be successful in their roles.

There are many reasons why you might want to become an Oracle database administrator. Maybe you’re interested in the challenge of managing a complex database system. Or perhaps you see it as a way to further your career in IT. Either way, it’s a challenging and rewarding role.

So, how do you become an Oracle database administrator? Here are five steps to get you started:

1. Gain work experience with Oracle Databases.

2. Complete an Oracle database administration certification program .

3. Take the Oracle certified database administration professional track .

4. Consider pursuing advanced Oracle database management cloud database learning subscription .

5. Become an Oracle Autonomous database administrator

Workflow Management Database Design

Today we’re going to guide you through exactly how to create a workflow management database design - from scratch.

This can form the basis of all sorts of solutions - including workflow management tools, approval apps, automated solutions - and a whole raft of other internal tools.

See, most internal tasks and processes aren’t that complicated.

In fact, most management or administrative tasks can be expressed as chains of requests and decisions. Someone requests something - like permission to take an action or access a resource - and someone approves or declines this request - based on defined logic.

Our goal today is to demonstrate how we can use a database to represent these processes computationally. This can then form the basis of all kinds of user-focused tools and automation solutions for improving our workflows.

Let’s dive in.

What is a workflow management database?

A workflow management database is where we store information that represents the status of a process at any point in time - along with how it has progressed up that point and how it can move onwards.

This matches what’s known in computer science as a finite-state machine .

Basically, this is a model that outlines how resources can be in one of a finite number of states at any given time. Certain actions can be performed on the resource, in order for it to transition to another state.

What does this have to do with workflow management?

A workflow is a repeatable set of decisions that determine what happens to a request. This includes the decisions themselves, when they occur, and who is responsible for making them.

The goal is to progress the request from start to finish based on established business rules.

This could be a specific task like employee onboarding, dealing with purchase orders, approval workflows, editorial flows for video tutorials, or any other business processes. Effective workflow database design is crucial for all sorts of applications.

For example, the process for submitting a bug in an internal software system could look like this:

  • Any user can record a bug, with an initial status of submitted .
  • The service desk checks if the report follows a determined template. Any that don’t are marked as declined .
  • If the request is in the right form, it’s assigned to an appropriate member of the development team and marked as pending .
  • Once the development team starts work, the status changes to in-progress .
  • When they’re finished, the status changes to resolved .
  • The original user is notified of the outcome.

As you can see, the workflow is represented by how the status of the resource changes as it passes through different actions. As we said earlier, the transitions and actions are what must happen for the resource to move from one status to the next.

How does this work?

So, before we dive into designing a workflow management database, let’s think about how this works in the abstract.

The method we’re going to use today is based on a relational data model. This means we’ll have several different tables, each one representing a single type of data entity. We’ll then link these tables using defined relationships .

What specific data do we need to represent for our workflow management database design to be viable?

The most basic model will need to include data objects to represent:

  • Requests - that can be reviewed, approved, or implemented by different actors.
  • Processes - which govern how each request should be handled.
  • Request information - variable data that can be associated with each request.
  • States - the stats that individual requests can be in.
  • Transitions and actions - the flow of states that users can progress requests through within a process, along with how this is controlled.
  • Users - the people involved in the workflow.

Of course, the nomenclature that we’re using here isn’t critical. You could just as easily use your own naming conventions for different data entities.

The goal is that we can use the same database for multiple similar workflows, as the basis for a variety of internal tools or other technical solutions. Therefore, we need to consider how we can create a data model that’s applicable to the widest number of internal processes.

Obviously, we’ll need to know what our underlying business logic is before we can codify it in a formal database to support our approval processes.

Workflow management database design in 5 steps

Now, it’s worth noting that we can’t provide a totally generic, one-size-fits-all approach here. What we’re trying to do here is provide an illustrative guide to the process of workflow management database design - not an off-the-rail model as such.

And - one more note about our demos and examples throughout this guide. We’re using a Postgres instance hooked up to Budibase’s data section to give a clear visualization of what our database looks like in situ.

We’re also going to accompany this with formal diagrams which will evolve as we progress through creating a workflow model. By the end, we’ll have a fully fleshed-out workflow data model example.

With that in mind, here’s the flow of decisions and considerations that we can apply to designing a workflow model database - including each of the entities we’re going to need to define.

1. Processes and users

The basis of our database is going to be two very simple tables. The first will represent our users. Strictly from a database design point of view, the practicalities of this are kind of a separate issue.

What matters isn’t so much how we add users as that we can add them - and the information we store about each one. We’ll see a bit more about what Budibase brings to the table here a little bit later.

The first thing we need to know about our users is their basic personal information - like their name and email. What’s more important is their role within a process. That is, what permissions and responsibilities do they have within a given workflow?

The thing is though, the users table is a little bit of an outlier - because this might be managed externally to the rest of our workflow management database design - perhaps in individual workflow tools or within a global user management system.

For now, we’re just going to take a black box approach to users since - for our purposes today - we’re only really worried about the fact that we can store user data.

The other central data entity is going to be our processes table . This will store two pieces of data:

  • A unique ID.
  • A descriptive name.

But, Postgres won’t allow us to create a direct many-to-many relationship, so we’ll also need a Junction table to achieve this in our workflow engine. This defines the relationship between our two tables by storing their respective unique IDs as foreign keys.

So, here’s a visual representation of what our data model looks like so far - in theory:

So, we can link users to processes. We can build on this using whichever access control solution we want to control how different users’ roles allow them to take different actions within a given process. We’ll return to this at the end since it’s kind of a separate question.

But, we don’t really know anything about our processes just yet.

That leads us to our next data entity.

2. Requests

Next, we need to be able to represent information about the individual requests that will represent the individual instances of a given process.

We’ll start by creating a table called requests , which will store the basic details, like a title, request date, which process it’s a part of, and requesting user. We’ll also need an attribute to store its current state, but we’ll come to that in the next step.

So, now our approval workflow database design is more like this:

But, this only reflects the relationship between requests and users in terms of who created each request. We’ll also need a separate many-to-many relationship between these two tables, to represent all of the colleagues that can be involved in a request.

We’ll use another junction table to do this and call it requestStakeholders . Now our workflow diagram looks like this:

In reality, we might actually want to add several of these junction tables, to represent the different ways that users can be related to requests. For example, if we have process admins, owners, or people who simply need to be notified of developments.

We’re just using one junction table here, because we only want to illustrate the principles of workflow management database design.

Next, we want to add a new table for contextual data about requests.

This is where we’re going to account for the fact that requests and processes are typically going to display a large amount of internal variance .

For instance, the data we store about our fleet management workflows will probably be quite a bit different from a HR process. To reflect this fact, we’re going to create a new table called requestData .

This is a key part of any database design for approval workflows. Check out our guide to building a business rules engine .

Along with a unique ID, this will store a series of name/value pairs. That way, we’ll be able to store whatever data is relevant to each individual request and process. This gets a many-to-one relationship with our requests table:

If we wanted to, we could add some extra data entities at this point. For instance - for storing files or comments relevant to different requests and processes in our workflow management system.

But, you might just as easily store these externally, so we’ll keep things simple instead of worrying about those.

At this point, we have all of the data we need to go through the approval and decision-making processes involved in our database.

3. States and transitions

Next, we want to outline and codify how these processes will be structured.

Remember, the basis for our workflow logic is going to be how we represent the state of each request at any moment in time. We need to define what the possibilities are.

But - all of our states won’t apply to all of our requests. For example, we might have a status that indicates that we’re waiting for a piece of stock to arrive but there will be plenty of requests that this isn’t applicable to - say, an employee mentoring workflow.

So, our first task here is to create a stateTypes table.

This is going to give us a way to categorize individual states. This will be an unchanging list, with two attributes:

  • StateTypeID.

We’re using five possible stateTypes that we can categorize our individual states into.

Here’s what this table looks like in Budibase when it’s fetched from Postgres:

Next, we need a table to store our individual states . These are the granular, process-specific descriptors of the status of each request.

In the first instance, we want to record three things about each one - a unique ID, a name, and a description . We’ll also want a one-to-many relationship to our requests table, and a many-to-one relationship to our stateTypes .

Here’s our workflow management database design so far:

Next, we need some way of accounting for how resources move between states. This is where we actually define the steps involved in a process.

So, our transitions object will consist of its own primary key , along with a many-to-one relationship to the processes table.

We’ll also store attributes for the currentStateId and the nextStateId. This means that each transition entry will act as one step in the flow of states that a request goes through within a process .

Here’s what this looks like in the context of the rest of our model:

4. Database actions

Next, we want to think about the specific actions and events that will move a request from one state to the next. So, transitions are the path that requests follow between states. Actions are what move them along.

Effectively, these are the human or automated interactions that make up our workflow.

Just like with transitions, individual actions are going to be unique to each process. Once again, we’re going to start by creating a table to classify these - called actionTypes .

This time we’re going to have seven different categories that our actions can fall into. Here’s what the table would look like in Budibase:

Now, we need to create somewhere to store the actions that are permissible within each process. Our actions table will store:

  • A unique ID,
  • A description,
  • A relationship to the actionType table.
  • A relationship to the processes table.
  • A many-to-many relationship to our transitions table.

That last point means we’re going to need another junction table between actions and transitions .

Our completed workflow management database design diagram looks like this:

5. Implementing logic

The last thing we need to do in order to complete our finite-state machine is to determine how we’re going to implement the business logic that we’ve built our database schema around.

For example, when a user calls a specified action, it triggers a transition , causing the resource’s state to change.

We have a few different options here. One would be to handle everything within the database itself - for instance, using stored procedures or other internal rules within your chosen DBMS.

Or, using middleware would be an equally valid option. So, in just the same way as we’re using our database model as the basis for managing different workflows - we could have a shared process layer for storing rules on how to manage our data.

Finally, we could of course handle this separately in each individual tool we use to query our database.

Honestly though, which of these is right for specific scenarios is outside of the scope of our discussion today.

That’s the bulk of our design completed. But, there are a few other issues that we’d like to draw your attention to before we wrap up.

These aren’t elements of your database design as such - but they are things that impact how our data is accessed, used, and maintained.

User groups and RBAC

First off, we sort of glossed over the idea of roles within workflow management earlier. Let’s think a bit more deeply about how this works - and how we can implement it.

Role-based access control is based on the principle that colleagues with similar responsibilities can be clustered together to simplify how we grant permissions to access specific resources or carry out different actions.

Stored procedures

Stored procedures are pieces of code that you can define and save within your DBMS - typically in SQL or SQL-derived databases. Essentially, we can give complex queries a name, and execute them using this - rather than writing them from scratch every time.

This offers several advantages, including making complex actions easier to execute, improving performance, helping to ensure security, and making our database easier to maintain. We can even create stored procedures that we can pass arguments to.

This is particularly helpful in the context of workflow management, where we may only want to expose different kinds of users to very tightly defined actions.

Validation rules

Validation rules are another critical element of any user-centric data application. Basically, these are used to ensure that any user-provided data complies with the constraints that apply to each individual attribute - either in terms of their form or values.

There are a few different ways that we can implement validation. For example, we can handle this at the database level. This gives us strong protection against invalid data, but it can offer a less-than-ideal user experience.

If something goes wrong, most users won’t be able to understand what the problem is from a database error. Therefore, it’s a good idea to complement this with UI or process layer validation too, to give more user-friendly feedback when data fails our validation rules.

Workflow automation

Of course, one of the key reasons for regularizing our workflow management data in the first place is facilitating automation. The more effective we are in building a consistent workflow management database, the more easily we can automate processes at scale.

In terms of implementation, there are a bunch of different approaches here. One is leveraging dedicated workflow automation tools, like Zapier. Or, we always have the option of relying on fully-customized, hard-coded solutions.

Nowadays, more and more IT teams are turning to low-code development to create custom workflow management tools, including automating functions that would otherwise require manual interactions.

Managing database interactions

Finally, we can’t speak about database design without touching on how we allow users to manage the information we store. For example, do we reserve this for database administrators working with manual queries?

Or, do we want to create more accessible tools for less technical colleagues to interact with our data - like CRUD apps, dashboards, admin panels, or other common internal tools?

Basic SQL Commands - The List of Database Queries and Statements You Should Know

SQL stands for Structured Query Language. SQL commands are the instructions used to communicate with a database to perform tasks, functions, and queries with data.

SQL commands can be used to search the database and to do other functions like creating tables, adding data to tables, modifying data, and dropping tables.

Here is a list of basic SQL commands (sometimes called clauses) you should know if you are going to work with SQL.

SELECT and FROM

The SELECT part of a query determines which columns of the data to show in the results. There are also options you can apply to show data that is not a table column.

The example below shows three columns SELECT ed FROM the “student” table and one calculated column. The database stores the studentID, FirstName, and LastName of the student. We can combine the First and the Last name columns to create the FullName calculated column.

CREATE TABLE

CREATE TABLE does just what it sounds like: it creates a table in the database. You can specify the name of the table and the columns that should be in the table.

ALTER TABLE

ALTER TABLE changes the structure of a table. Here is how you would add a column to a database:

The CHECK constraint is used to limit the value range that can be placed in a column.

If you define a CHECK constraint on a single column it allows only certain values for this column. If you define a CHECK constraint on a table it can limit the values in certain columns based on values in other columns in the row.

The following SQL creates a CHECK constraint on the “Age” column when the “Persons” table is created. The CHECK constraint ensures that you can not have any person below 18 years.

To allow naming of a CHECK constraint, and for defining a CHECK constraint on multiple columns, use the following SQL syntax:

( AND , OR , IN , BETWEEN , and LIKE )

The WHERE clause is used to limit the number of rows returned.

As an example, first we will show you a SELECT statement and results without a WHERE statement. Then we will add a WHERE statement that uses all five qualifiers above.

Now, we'll repeat the SELECT query but we'll limit the rows returned using a WHERE statement.

To update a record in a table you use the UPDATE statement.

Use the WHERE condition to specify which records you want to update. It is possible to update one or more columns at a time. The syntax is:

Here is an example updating the Name of the record with Id 4:

You can also update columns in a table by using values from other tables. Use the JOIN clause to get data from multiple tables. The syntax is:

GROUP BY allows you to combine rows and aggregate data.

Here is the syntax of GROUP BY :

HAVING allows you to filter the data aggregated by the GROUP BY clause so that the user gets a limited set of records to view.

Here is the syntax of HAVING :

“Average” is used to calculate the average of a numeric column from the set of rows returned by a SQL statement.

Here is the syntax for using the function:

Here’s an example using the student table:

AS allows you to rename a column or table using an alias.

This results in output as below.

You can also use AS to assign a name to a table to make it easier to reference in joins.

ORDER BY gives us a way to sort the result set by one or more of the items in the SELECT section. Here is an SQL sorting the students by FullName in descending order. The default sort order is ascending ( ASC ) but to sort in the opposite order (descending) you use DESC .

COUNT will count the number of rows and return that count as a column in the result set.

Here are examples of what you would use COUNT for:

  • Counting all rows in a table (no group by required)
  • Counting the totals of subsets of data (requires a Group By section of the statement)

This SQL statement provides a count of all rows. Note that you can give the resulting COUNT column a name using “AS”.

DELETE is used to delete a record in a table.

Be careful. You can delete all records of the table or just a few. Use the WHERE condition to specify which records you want to delete. The syntax is:

Here is an example deleting from the table Person the record with Id 3:

JOIN , also called Inner Join, selects records that have matching values in two tables.

A LEFT JOIN returns all rows from the left table, and the matched rows from the right table. Rows in the left table will be returned even if there was no match in the right table. The rows from the left table with no match in the right table will have null for right table values.

A RIGHT JOIN returns all rows from the right table, and the matched rows from the left table. Opposite of a left join, this will return all rows from the right table even where there is no match in the left table. Rows in the right table that have no match in the left table will have null values for left table columns.

FULL OUTER JOIN

A FULL OUTER JOIN returns all rows for which there is a match in either of the tables. So if there are rows in the left table that do not have matches in the right table, those will be included. Also, if there are rows in the right table that do not have matches in the left table, those will be included.

INSERT is a way to insert data into a table.

LIKE  is used in a WHERE or HAVING (as part of the GROUP BY ) to limit the selected rows to the items when a column has a certain pattern of characters contained in it.

This SQL will select students that have FullName starting with “Monique” or ending with “Greene”.

You can place NOT before LIKE to exclude the rows with the string pattern instead of selecting them. This SQL excludes records that contain “cer Pau” and “Ted” in the FullName column.

Project management is a booming field. In this article, we’ll examine a data model to support a project management app.

Project management is anything but an easy task. You are limited in many ways – materials, costs, human resources, and project deadlines spring to mind – but it’s still up to you to deliver a result on time.

If you think of building a pyramid, you can easily conclude it was a case of project management! It had a project sponsor (usually Pharaoh), a deadline (Pharaohs’ deadline ☺), human resources (mostly workers and slaves), material resources (stone blocks) and of course a project manager. A lot has changed since then, but the idea is still the same. We need to be as organized as possible if we expect to deliver a project result on time, up to its expected quality, and within its budget.

In this article, we’ll describe a data model that could run a project management application.

A Short Introduction to Project Management

Before we take a look at the model, we need to get some background on project management. I’ll run through some of the most popular terms and describe features that our application should include.

What is a project?

A project is a time-limited effort that, if completed successfully, will create something new and valuable.

In the introduction, we compared project management to building a pyramid. Nowadays, project management can mean building roads or cities, developing new software, defining new methodologies, etc. All of these imply that the project will deliver something completely new (or an improved version of something else).

What is project management?

Project management is the process of accomplishing a predefined goal within a set time period and budget. It requires a varied group of techniques, skills, and tools.

During the project management cycle, we’ll create and implement a plan for our project. We’ll track progress throughout. In some cases, we’ll have to make changes to cope with unplanned situations and events. If that happens, we’ll need to reallocate resources to critical activities and tasks in order to stay on schedule; in a worst-case scenario, we may have to alter our project plan.

In a perfect world, we could deliver project results on time, on budget and with the right quality. In real life, we need to balance scheduling, budgeting and quality during the entire process.

What are some project management terms I need to know?

There are a few popular project management approaches (Lean, PRINCE2, process-based, traditional, etc.) but we won’t go into these now. I’ll stick to the terms that are common in most project management methodologies. Some of these terms are:

  • Project stakeholders – All private individuals or business entities that are interested in the successful finishing of the projects. This includes the clients or sponsors of the project, but it can also include user groups, government agencies, and people who work on the project, among many others.
  • Project manager – The person in charge of planning, executing, and closing the project. Project managers should be properly educated in the field; they should also be able to use various techniques and tools to fulfill their role.
  • Activity – A single action that produces a “small” result. An activity is usually related to other activities. Some can run simultaneously and independently of each other; others must wait until some previous activity is completed. For example, ordering needed software is an activity.
  • Task – A group of related activities that produces a “larger” result. If we complete all project tasks successfully, we’ll also close our project successfully. So, after the ordered software is delivered (1 st activity of the task) we can install it (2 nd activity on the same task) and see if it works as expected (3 rd activity). Once we’ve completed all these activities, we’ve also completed this task.
  • Critical path – A sequence of related activities that have no time buffer. If any activity on that path requires more time than allotted to it, we’ll need to respond in some way. This could mean modifying our plan, reallocating resources, decreasing quality, or extending the whole project.
  • Gantt chart – A graphical representation that is often used to track project progress. The Gantt chart clearly displays all tasks, activities, planned resources and budgets, activity and task statuses, critical paths etc. The X-axis is the time axis (usually measured in weeks) and the Y-axis shows the project tasks and activities.

What should project management software look like?

Project management software should be as simple as possible. It would be best to have the entire Gantt chart on one screen. We can expect that we’ll still need to scroll to see various parts, but we’ll have everything clearly visible on a single screen.

The Data Model

The data model consists of three main subject areas:

  • Users and roles
  • Tasks and activities

I’ll explain the Users and roles and Project and partners subject areas first. Then we’ll move to the Task and activities subject area, which is the central part of this model.

Section 1: Users and Roles

Users and Roles subject area

This section contains all the tables needed to store details about app users, project teams, and team members and their roles.

Some of the employees on our project will be able to log into our application, but most will not need to. Therefore, we need two separate tables: the user_account table and the employee table.

The user_account table contains everything we need to know about the app users. We’ll store the username and password needed for login and personal details like first_name , last_name , and email . The username and email values are UNIQUE in this table. The is_project_manager flag indicates if the user has the authority to make changes on the project. The last attribute in this table is the self-explanatory registration_time .

As I’ve already mentioned, any user with login rights could participate in the project, but that is not the requirement. On the other hand, most of the employees on the project won’t have login rights. Still, we need to store their details in order to relate them with tasks and activities. A list of all employees that are part of any project is stored in the employee table. The employee_code attribute is the alternate UNIQUE key of the table. The employee_name attribute stores the first and the last name of all employees on the project. If the employee has login rights, his user_account_id attribute will have his related ID number from the user_account table.

We’ll usually assign individual employees to a certain task or activity. There are some situations when we’ll use an entire team to complete a certain activity. In these cases, it would be wise to group all members of that team. Otherwise, we risk assigning activities to each employee separately. The team_member table serves that purpose in our model. We’ll store team_id , employee_id and role_id for all employees in a given team. Notice that employees can be assigned to a team only once; therefore the team_id – employee_id pair forms the UNIQUE key of this table. On the other hand, an employee could be a member of several teams.

The remaining two tables in this section are dictionaries. The team table lists all teams we’ve defined in our organization, while the role table lists all the roles that could be assigned to employees on the project. For example, some roles in a software development company are developer, consultant, and project manager. In both tables, the name attributes can contain only UNIQUE values.

Section 2: Projects

In the first section we defined the human resources needed to execute projects. In this section we’ll explain the structure needed to organize project details, partners, and clients.

The most important table in this section is the project table. It is where we’ll store all the projects we’re using our application to manage. For each project, we’ll include the following attributes:

  • project_name – is the actual project name. It is NOT UNIQUE because we could have two projects with the same project_name . We differentiate between them according to their start and end dates.
  • planned_start_date and planned_end_date – are the expected start and end dates for the project. These are inserted during the planning phase.
  • actual_start_date and actual_end_date – are the project’s actual start and end dates. They are inserted during the project execution phase.
  • project_description – is a text description of the project, with all the relevant details.

In the project_manager table, we’ll store a list of all users who can manage projects, create new tasks and activities, assign employees to tasks and activities, and modify or delete existing tasks and activities. To assign a user as the manager of a certain project, that user should have the user_account . is_project_manager attribute set to True. The project_id – user_account_id pair holds only UNIQUE values.

Project stakeholders are all entities that have an interest in the successful completion of the project. These could be investors, government agencies, NGOs or not-for-profit organizations, etc. We’ll also likely work with clients, to whom we’ll deliver the project result. We’ll store these interested parties in the client_partner table. For each client or partner on any of our projects, we’ll store a full name, address, and other text details.

The last table in this section, the on_project table, relates clients and partners with projects. The attributes in this table are:

  • project_id – is a reference to the project table.
  • client_partner_id – is a reference to the client_partner table.
  • date_start and date_end – are the dates when the client/partner started and ended their engagement on that project. The date_end attribute can be NULL because we’ll update its value when the engagement ends.
  • is_client and is_partner – are flags to denote the role of the entity from the client_partner table. Only one of these should be set at the same time.
  • description – is a detailed explanation of the client or partner’s role and engagement in the project.

Section 3: Tasks and Activities

The last section in our model is also the core of our application. We’ll define tasks and activities here, relate them together, and relate them to other parts of the model.

A project is composed of multiple tasks and each task is composed of one or more activities. The task table will store the following details for each task:

  • task_name – is the task’s onscreen name.
  • project_id – references the project that the task is part of.
  • priority – prioritizes the task with an integer value. We can expect a range of numbers (e.g. 1 to 5) to show the task’s priority within the project. This could be crucial information when you have to decide which tasks to start at what time.
  • description – is a detailed task description, if needed.
  • planned_start_date , planned_end_date and planned_budget – are initial values for the task. These are set in the planning phase.
  • actual_start_date , actual_end_date and actual_budget – are the actual values for the task’s start, end, and budget. These are set during the execution phase, as they are completed.

Project tasks generally are done in order. One or more tasks may have to be finished for a new task to start. A list of all such prerequisite tasks is stored in the preceding_task table. We’ll define the task_id and preceding_task_id attributes here. The “preceding_task_id” attribute will store the ID of whatever task is immediately before the current task. The task_id – preceding_task_id pair forms the alternate UNIQUE key of this table.

Each task is composed of one or more activities. The activity table is very similar to the task table. The attributes in this table are:

  • activity_name – is an activity’s onscreen name.
  • task_id – references the related task.
  • priority – uses a range of integers to denote the priority of that activity within its task.
  • description – is a detailed activity description, if needed.
  • planned_start_date , planned_end_date and planned_budget – are initial values set for that activity in the planning phase.
  • actual_start_date , actual_end_date and actual_budget – are the actual values, entered once the activity is completed during the project execution phase.

Like tasks, activities may be ordered in a certain way, so we’ll need another table to store prerequisite activities. In the preceding_activity table, the activity_id – preceding_activity_id pair are UNIQUE.

The last table in this section (and in the model) is the assigned table. It is simple but very important. It relates employees with activities. When we assign an employee to a certain activity, we’ll also define their role (via role_id ) for that activity. Since activities are the smallest job unit, the same employee can’t be assigned to the same role in the same activity more than once.

We could assign a whole team to a certain activity, but the result would be the separate insertion of each team member into the assigned table. We could also assign an employee or even a team to an entire task but the database will store that information as employees assigned to single activities.

How Can This Project Management Data Model Be Used?

I hope that after reading this article you have at least a general idea of how you could build a project management app. I focused on the Gantt chart because it’s one of the most popular chart types for project management. Still, it’s not the only option we could use. We could go with some other graphical or textual representation. Charts are nice and clear, but what happens if your display size is limited? In that case, a simplified graphical or even textual application could be a reasonable option.

Project management is a really complex area. There are some different concepts and methodologies, but the main idea is the same. In this example, I went with the Gantt chart because most of us are visual types. On smaller projects, we might use a simple text-only To-Do List. In other cases, maybe the Gantt chart isn’t the best choice.

Generative AI and the future of work in Australia

In a 2019 report, Australia’s automation opportunity: Reigniting productivity and inclusive income growth , McKinsey examined the possible impact of automation on the future of work. Australia’s economy was at the tail end of a three-decade boom and losing momentum fast—yet the automation wave was on the horizon, bringing the possibility of inclusive economic growth and an uplift in productivity. The report found that, to realize this promise, Australia would need to embrace rapid automation adoption and facilitate social inclusion in the process. 1 Australia’s automation opportunity: Reigniting productivity and inclusive income growth , McKinsey, March 3, 2019.

What is generative AI?

In this report, generative AI (gen AI) encompasses applications typically constructed using foundation models, a class of artificial neural networks that have layered structures comparable to the human brain’s neuron networks. 1 For more, see “ Generative AI and the future of work in America ,” McKinsey Global Institute, July 26, 2023 and The economic potential of generative AI: The next productivity frontier , McKinsey, June 14, 2023. This type of AI is called generative because of its capacity to create new content based on deep learning, or processing patterns and information from large amounts of data. One example is ChatGPT, which uses its data sourced from the internet to respond to questions and create a variety of written content—from poetry and stories to essays and computer code. 2 James Purtill, “How Australians are using ChatGPT and other generative AI in their everyday lives,” ABC Science, April 14, 2023.

Gen AI tools can also be used to generate graphics. Leonardo.Ai, developed by a North Sydney-based start-up, generates images and videos online from text prompts. In an interview for this report, cofounder J.J. Fiasson explains that Leonardo.Ai aims to help people to move quickly from idea to visual creation, an exercise which could otherwise take days or weeks. Users can input basic stick figures which the technology outputs as realistic drawings—for example, a line with some green dashes can be rendered into an oak tree. 3 “Leonardo.Ai accelerates global growth, generates 700 million AI images in less than a year on AWS,” Amazon media alert, November 27, 2023.

Despite many users interacting with these platforms for curiosity’s sake alone, gen AI nevertheless has the potential to perform an array of business-related functions—from product design to writing music and from customer service chatbots to assistance with scientific advancements. Still, gen AI’s early stage limitations require consideration to avoid unwanted legal, ethical, or plagiarism-related consequences. Human input and assessment, adequate monitoring, and awareness of possible inaccuracies are critical to ensure that gen AI is used responsibly. 4 “ Generative AI and the future of work in America ,” McKinsey Global Institute, July 26, 2023; The economic potential of generative AI: The next productivity frontier , McKinsey, June 14, 2023.

Half a decade later, a lot has changed—not least because of the profound shifts that the COVID-19 pandemic brought to the Australian economy. In 2023, generative AI (gen AI) emerged as a significant new force with the potential to reshape the future of work. 2 Insights from the first six months of JobKeeper , The Australian Government the Treasury, October 11, 2021; The economic potential of generative AI: The next productivity frontier , McKinsey, June 14, 2023. With its advanced natural language capabilities, gen AI could become ubiquitous, embedded into knowledge workers’ everyday tools (see sidebar, “What is generative AI?”). As gen AI continues to evolve through 2030, it could affect a more comprehensive set of work activities, transforming skills demand in Australia.

The acceleration of gen AI, alongside overlapping macroeconomic trends, prompted us to reexamine automation and the future of work. A new report by McKinsey, Generative AI and the future of work in Australia , aims to reflect what Australia’s mix of occupations could look like in 2030, including potential shifts in skills demand and how workers may need to reskill to stay productively employed and transition to new roles. This article explores some key findings from the report’s analysis.

The accelerated capabilities of machines

In 2019, the McKinsey Global Institute estimated that 44 percent of Australians’ time at work could be automated by adopting the technology of the time. 3 Australia’s automation opportunity: Reigniting productivity and inclusive income growth , McKinsey, March 3, 2019. In 2023, we revisited the topic to assess how the rapid emergence of gen AI has accelerated machines’ capabilities, finding that 62 percent of existing task hours could be automated using the technology available at the time of analysis. This potential could rise further to between 79 and 98 percent by 2030.

However, there could be a substantial time lag between technical potential and realized change—developing capabilities into technical solutions takes time, the cost of implementing solutions may exceed the cost of human labor, and the pace of adoption could be influenced by social or regulatory dynamics.

Accounting for these potential sources of friction, we modeled a series of adoption scenarios. While the early scenario suggests that just above 50 percent of activities could be automated by 2030, the late scenario could see just 2 percent in the same year. The midpoint of these scenarios would imply that around one-quarter of work hours could be automated by 2030. This is an eight percentage point acceleration with the inclusion of gen AI (Exhibit 1). 4 Based on a historical analysis of various technologies, we modeled a range of adoption timelines from eight to 27 years between the beginning of adoption and its plateau, using sigmoidal curves (S-curves). This range implicitly accounts for the many factors that could affect the pace at which adoption occurs, including regulation, levels of investment, and management decision making within companies.

In a midpoint adoption scenario, every sector and occupation in Australia sees increases in automation, with associated potential for productivity gains. The introduction of gen AI has altered the adoption pattern observed in the 2019 report, Australia’s automation opportunit y 5 Australia’s automation opportunity: Reigniting productivity and inclusive income growth , McKinsey, March 3, 2019. —automation is now rapidly encroaching on knowledge work, and the activities of white-collar workers, higher-wage roles, and workers in metropolitan areas. Automation adoption in educational services, professional, scientific, and technical services, and finance and insurance could see the most profound impact from gen AI (Exhibit 2).

The new landscape of human work

Technology-driven shifts intersect with other macro factors, such as an aging population, the net-zero transition, and increased infrastructure spending. When these factors are combined, up to 1.3 million workers—9 percent of Australia’s total workforce—may need to transition out of their current roles into new occupations by 2030. 6 Here, 1.3 million transitions are distinct from regular employment churn within the economy. In this case, an individual would move into a different occupation from their current one, as opposed to current measures of churn where an individual may leave one business and go to another business to perform the same occupation.

When looking at future demand for jobs, and potential occupational transitions, three distinct occupational groups emerge:

  • Resilient and growing occupations include those in science and technology, healthcare, and professional services, which remained in demand during the pandemic. In this group, after automation, there could be net demand for 1.5 million additional jobs in 2022–30 and up to 210,000 required occupational transitions.
  • Stalled but rising occupations—building and mechanical installation and repair—saw downturns from 2019–22 related to the pandemic and global supply shortages. 7 Infrastructure beyond COVID-19—A national study on the impacts of the pandemic on Australia, Infrastructure Australia, December 16, 2020. Alongside growing infrastructure demand, job demand could increase by 290,000, with 200,000 occupational transitions.
  • Disrupted and declining occupations saw low growth or decline from 2019 to 2022 and are likely to continue to shrink, with up to 850,000 occupation transitions by 2030. Declining demand for jobs in office support, production work, food services, and customer service and sales could see almost 850,000 workers leaving their current occupations and finding jobs in different occupations (Exhibit 3).

Understanding the nuances of these changes, and their potential impact on individuals and businesses, is crucial for a smoother transition. For instance, roles that are categorized within the lowest wage quintile and those without bachelor’s degree requirements are, respectively, 5.0 and 1.8 times more likely to experience occupational transitions than roles within the highest wage quintile and with higher education requirements. Women, who are underrepresented in jobs with growing demand, such as technology-related roles, and overrepresented in office support and customer service, are 1.2 times more likely to be affected by job transitions than men. 8 Australian Bureau of Statistics; McKinsey Global Institute analysis.

Skill building may be a crucial tool to navigate a changing jobs landscape.

Staying relevant in this rapidly changing environment could require workers to build new skills continuously. There could be greater demand for occupations requiring social, emotional, and technological skills, and relatively less demand for occupations requiring only basic cognitive skills by 2030.

Social and emotional skills, such as empathy, are often considered critical in healthcare and may continue to be paramount. However, with the increasing use of digital systems in healthcare delivery and the overall digitization of jobs and industries, healthcare workers may also need to build their digital skills.

Demand is anticipated to shrink for activities that primarily only require basic cognitive skills. The recurring, routine tasks in office support roles, for example, can often be completed by software and AI. Consequently, individuals could spend more time on higher-value work. For instance, retail employees could shift their focus from routine tasks, such as payment processing, to customer assistance—thereby delivering a superior customer experience.

Higher education could remain essential as demand increases in STEM, health, business, and legal professions. The need for bachelor’s degrees could grow by 17 percent by 2030, while tertiary and higher qualifications could make up about 2 percent more of the labor market. Still, about 60 percent of the labor market might not require a tertiary degree in 2030.

This continued and increasing demand for certain skill sets presents opportunities for upskilling and transitions to better-paid positions, which could rebalance the economy toward higher-wage jobs. More Australians could secure higher-paying positions—provided they have access to skills training and education.

Successful integration of automation and gen AI could boost the Australian economy and benefit businesses

Assuming all factors are in place, gen AI has the potential to increase Australian labor productivity by 0.1 to 1.1 percentage points a year through 2030. 9 We conservatively use the low and midpoint scenarios for these productivity numbers, given uncertainty concerning how productivity benefits will be captured. For both low and midpoint, we created two scenarios: a pessimistic scenario in which labor displaced by automation rejoins the workforce at 2022 productivity levels, and a more optimistic scenario in which it rejoins at 2030 productivity levels, net of automation. In both scenarios, we have incorporated labor displaced rejoining in line with the expected 2030 occupational mix. All other projections (such as, for example, jobs lost and jobs gained), are based on the midpoint adoption scenario. The range reflects a late and average speed of gen AI adoption, along with full-time equivalent hours released from deploying these technologies being redeployed back into the economy. Both scenarios account for the occupational mix expected in 2030. When we combine gen AI with all other automation technologies, the productivity growth could range from 0.2 to 4.1 percent a year in the late and midpoint adoption scenarios, respectively. But as a year-on-year increase of 4.1 percentage points would be up to four times greater than recent historical productivity growth levels, this potential is unlikely to be fully realized, especially as there could be significant transition costs and second-order effects (Exhibit 4).

Despite headwinds such as an aging population, automation and gen AI offer opportunities. If Australia were to achieve even half of the potential productivity uplift, it could be on track to rekindle the faster economic growth of the post-1990s heyday. Enabling factors to help achieve this improvement include leaders who prioritize adoption, redesigned processes, effective change management, and strategies to ensure value capture from new efficiencies.

For the purposes of this research, we identified three sectors to bring to life how gen AI could transform the future of work in particular industries:

  • In retail trade, technology has the capability to introduce greater personalization, redefining the customer experience. Automation could improve inventory, back-office, and supply chain management, while gen AI could augment key functions such as customer service, and marketing and sales.
  • In financial services and insurance, gen AI adoption could reshape the way employees carry out risk assessments, fraud detection, software development, and customer service. Nearly one-third of task hours could be automated by 2030.
  • In the public sector, gen AI could transform activities such as education delivery, interactions with citizens, financial analysis, and R&D. In all these areas, productivity gains and improvements in accuracy and service could come as a result.

Gen AI and the future of work

Considerations for employers, governments, and educators.

It will not be a straightforward task for Australia’s stakeholders to realize the full benefits of automation and gen AI while ensuring that the coming transition in occupations and skills is well planned and fair.

Three main groups of stakeholders have an opportunity to take meaningful action:

Employers can consider the following questions to prepare for workforce evolution:

  • How will gen AI affect our competitive advantage and value proposition?
  • Do we have a strategic workforce plan that matches demand and supply with the capabilities we need?
  • How do we create sustainable value at scale?

Governments can help unlock the benefits of task augmentation and automation, providing a transparent regulatory framework and supporting those most vulnerable to role transitions. Government leaders can consider the following questions:

  • How can we create a simple, balanced regulatory environment?
  • How can governments support business adoption of automation?
  • How might we drive automation adoption in the public sector?
  • How can we encourage reskilling and provide a safety net for those transitioning to new roles?

Education institutions, supported in part by governments, can prepare to meet the evolving needs of employers and workers who are transitioning between occupations. Educators can consider the following questions:

  • How can we develop a more responsive and agile education system?
  • How can we leverage gen AI to improve outcomes through personalized learning?

Gen AI unlocks a future that may differ markedly from the present. Some people may fear the development, thinking it will negatively impact the way that we live and work. Others may embrace it, believing it will enhance productivity and help meet the needs of the planet and its people. Supporting an optimistic outlook, Australia’s economy has proved robust through challenging times, and shifts from gen AI could unlock benefits for Australia—including higher job demand and productivity. However, this potential may only be realized if employers, governments, and educators are able to adopt the technology in a bold and thoughtful way. Such strategic action could ensure that future generations of Australians benefit from the same prosperity that the country has experienced over the past three decades.

Leidos (NYSE: LDOS) was awarded a $143 million task order to support the Defense Intelligence Agency’s Open Source Intelligence Integration Center .

The company announced Thursday that it was chosen for the design and implementation of the center’s Tasking, Collection, Processing, Exploitation and Dissemination system.

The indefinite-delivery/indefinite-quantity contract involves software development done remotely from Leidos’ facilities, while the rest of the tasks will be carried out in the National Capital Region.

“This award serves as an important investment to operationalize artificial intelligence/machine learning capabilities in support of a critical intelligence mission,” said Roy Stevens , president of Leidos’ national security sector. “We look forward to extending our technical and mission success at NMEC to OSIC and across the DIA S&T Directorate,” the previous Wash100 awardee added.
