But like many things in the workplace, you can tackle organization by breaking it down into more manageable steps. Whether you’re looking to organize your individual tasks, your project-level work, or your team’s entire system, here’s how to get started.

6 ways to organize your to-dos

A great place to start is organizing your individual tasks. Tracking and writing down your to-dos helps you get things done faster and more effectively.

1. Track your to-dos in a central place

The more you try to mentally track things in your brain, the less productive you’ll be. The first step to making a better to-do list is to get it out of your head. 

This is a key tenet of the getting things done (GTD) method, which encourages you to free up brain power by tracking your to-dos in a tool instead of in your head. Once you have all of your to-dos written down, use a to-do list tool to turn those tasks into organized, actionable steps. With a digital to-do list manager, you can see all of your tasks, deadlines, and due dates in one place, so you can take action faster and more effectively.

2. Learn to manage your time

Time management is a critical part of being organized. If you aren't in control of your time, you can't be in control of your tasks. 

Luckily time management, like organization, is a learnable skill. There are a variety of techniques and strategies you can implement in order to get better at managing your time. 

Don't be afraid to try a few different techniques until you find the one that works for you. Check out: 

Time blocking: Time blocking is when you schedule out every moment of your day. This includes your meetings, tasks, and everything in between—from scrolling on Instagram to lunch breaks. Creating a detailed schedule gives you control over your calendar. You’ll become aware of exactly how you’re spending your time and any opportunities to improve.

Timeboxing : For each task, create a goal to finish it by a specific time. If left alone, tasks might fall into the trap of Parkinson’s Law —where work expands to fill the available time. Timeboxing prevents this, ensuring that tasks take only as long as they need to. 

The Pomodoro technique : The Pomodoro technique can help you get hyper-focused work done. It’s a simple structure: Each Pomodoro consists of 25-minute work blocks bookended by 5-minute breaks. When you’re in a Pomodoro, limit distractions and turn off notifications. The goal is to focus solely on the task at hand. 

Eat the frog : It might sound like a weird time management technique, but the eat the frog method comes from a famous Mark Twain quote: “If it’s your job to eat a frog, it’s best to do it first thing in the morning.” Essentially, this translates to tackling your most difficult tasks first. Start each day by identifying and completing your hardest tasks, going down the line until you’re left with easier items to end the day. This helps you take advantage of your most productive working hours–often when you first start work—to begin with a success.

By implementing time management, you can take control over your schedule and have more time for… well, whatever you’d like. 

3. Practice Inbox Zero

Contrary to popular belief, Inbox Zero doesn’t always mean having zero emails in your inbox. The concept is more about organizing your emails and reducing digital clutter so you can stay on top of important tasks and updates.

To apply Inbox Zero, set a time every week—or every day if needed—to triage incoming messages. Review your inbox and organize every item by tasks or priorities. Try to apply simple rules that help move the process forward. For example, if you use a work management platform , assign tasks as you read through messages. Or use keyboard shortcuts to speed-read through messages and shoot off quick responses as needed. 

Each time you practice your Inbox Zero, it will be easier to replicate. Use a weekly calendar reminder or daily alarm to ensure that you stay on top of—or potentially ahead of—incoming messages. 

4. Prioritize your most important work

There’s a difference between work that makes you feel productive (busy work) and work that helps move your team and business forward. One might make you feel good—who doesn’t love checking off a box on a to-do list—but the other is the type of work that will ultimately help you grow your career, team, and company. 

Identifying your most important work starts with your company’s strategic plan and organization-wide OKRs . Every task—no matter how small—should lead back to those larger, overarching goals. Connecting your individual tasks to broader goals gives you the context to get your most important work done.

When you know how your work ladders up to larger company initiatives, you have the context you need to adjust deadlines and priorities. That way, when a due date changes or a new project gets added to your plate, you can evaluate how that work compares to your current priorities and adjust accordingly.

5. Delegate tasks

Outsourcing or delegating tasks allows you to focus on high-impact projects. But delegating can feel awkward, especially if you’re delegating work to peers or even—on rare occasions—a higher-up. But in reality, outsourcing tasks to the proper person is an act of trust and validation. 

To delegate, start by identifying all tasks in your current workload. Then determine which ones are the highest priority with an Eisenhower matrix , sorting tasks as:

Important and urgent. This is your most important work. Assign these to yourself and prioritize anything in this bucket. 

Important but not urgent. These are valuable but might not need to get done today. Schedule them out to ensure they get done.

Not important but urgent. These are the to-dos to delegate. They’re not important to you, but they absolutely must get done. Assign these projects to others who can quickly and efficiently manage them.

Not important and not urgent. Remove completely. This is work for the sake of work.

If there's work in your "not important but urgent" category that someone else could do better, delegating is actually the best thing you can do.

6. Declutter your physical and virtual space

A clean, welcoming office space is energizing and exciting to walk into. When you clean up your desk so it's free of distraction, it can help you to feel more confident, creative, and even reduce anxiety . The same could be said for digital clutter. All those unread emails and overdue tasks are the virtual equivalent of having stacks of past-due papers in your workspace.

6 tips to organize project work

Organizing your to-dos is the first step to getting organized. After that, you’ll need to organize project work. If you've never thought about how to organize your project work, these six tips can help you get started.

1. Create a place for everything

Aside from making your workplace more functional, having every item—both digital and physical—in its proper place saves you time and can boost productivity . 

You can do this by organizing files and tasks within their appropriate projects. This works twofold—your team won’t need to search endlessly for files and you can reduce debriefing meetings by pointing colleagues to the exact process or workflow they need. 

To set up, create a project space with all of your team’s relevant files, tasks, goals, and documents. You can use a work management platform like Asana to house all of that information in one place—including reference documents and templates.

2. Break down project deliverables

At its core, a project is a way to house all of the tasks and deliverables associated with a particular initiative. This can be a deadline-driven initiative like an event or a product launch , or an ongoing process like an editorial calendar . 

Regardless of what your team is working on, break down project tasks into components that are small enough to assign to one person.

Here's why that matters: Imagine you have a complex deliverable that requires multiple people to get it over the finish line. Let's say, a blog. You have the writer, the copyeditor, and the designer. But if that one responsibility is equally shared between three people, who moves the work forward? Who tracks it? Who is responsible for changing the deadline or updating stakeholders? 

Instead, break down project deliverables into smaller pieces of work. Give each team member their own task—in this case, one for the blog design, one for the blog draft, and one for the blog review—so everyone knows who's doing what by when. This is also known as a work breakdown schedule . 

Project tracking software is the easiest way to do this. Set up a well-defined project and assign tasks so everyone can clearly see who's responsible for what. That way, team members with questions can go directly to the person in charge, cutting out the process of trying to find the who, what, why, or when behind every task and question.

3. Back up your files

We've all been through that awful moment when a computer crash or software glitch causes you to lose all of your work. But more and more, cloud storage is making that a thing of the past. Many companies offer storage solutions for employees—so if you can, take advantage of them.

Start by creating a system for all your files. Pre-organize the space so it makes sense for you, adding in folders and subdivisions as needed. If you start backing up your files in mass uploads with no real organization, you’re going to be in for a headache when you need to search for something specific down the road. 

Make sure that wherever you work has an autosave feature or that you routinely go in and save your work. Then, set up automatic backups if you’re able. If you’re not, set reminders to back up everything when you finish a task and again at the end of the day. 

4. Centralize status reports

Reporting can be one of the most manual and time consuming parts of your job. We’ve all sat through a status meeting that could have been an email—plus, it takes a lot of time to collect data from multiple sources and manually compile it in a central place. 

Instead, look for a way to report right where work happens. To get started, make sure all of your team’s to-dos are in one place. Organize them so that everyone has access to all the tasks, and ask each person to update what they’re working on in real time. This way, everyone knows the exact status of each task.

You can take it one step further by setting up automated workflows that alert colleagues when it’s their turn to step in and move the project forward. Context switching is a problem for many of us. The average worker switches between 10 apps up to 25 times per day. As a result, over one-quarter (27%) of workers say that actions and messages are missed when switching apps and 26% say app overload makes them less efficient. 

You can reduce the number of apps you’re using—and by default, some of this mental strain—thorough business integrations. Integrating your favorite business tools allows you to access information from different sources all in one place. That means you can centralize your information in a work management platform while also reaping the benefits of powerful tools like Salesforce or Google Docs—the best of both worlds. 

2. Break larger goals into smaller tasks

Large goals can feel overwhelming. When these big, hairy audacious goals aren’t organized properly, your team might feel like they’re impossible to achieve or their work doesn’t matter. By breaking your goals down into actionable steps, you’re both ensuring that you pace yourself well to hit target deadlines and showing employees exactly how their daily tasks are contributing to large-scale, high-impact goals. 

3. Track project dependencies

As a team, we depend on one another to do our own work. But what happens when something you’re relying on gets delayed? Without an easy way to visualize dependencies, you don't know when work is delayed and you need to adjust—and your team members don't know that their delay is actually impacting someone else. 

Clearly tracking project dependencies helps reduce unknowns for everyone on the team. How to Work Faster: Top 7 Strategies to Get Things Done

Wouldn’t it be great if you could finish your work one hour earlier every day ? One full hour cut from your work schedule every day. One hour extra to do anything you want.

Over a week, that’s 5 extra hours you gain back. Over a full year, that’s more than 32 workdays saved. Another month and a half of (paid) vacation every year.  Time you can use to do everything you want .

Time you can use to start the side business you have been delaying forever. Or to upgrade your skillset. Or even to be with your family and friends.

But is it possible?

You are skeptical. You are not a slacker and you work hard to complete every task. You even manage your time to the last second to ensure maximum efficiency.

How can YOU work faster?

In this article, I will show you how to work faster using the 7 strategies I use daily. I will show you that working faster doesn’t need to be stressful or complicated . It’s something that you can do without obsessive planning.

Why Can’t I Work Faster?

Here’s the tricky part:

Speed isn’t all that matters to finish fast.  Throughput  is what gets results fast or slow.

Think about your job. When you start a project, it’s probably broken down into parts. Each of those requires different skills and tasks to complete. Most of which depend on each other.

For example, let’s say you need to complete three tasks:

If you want to work faster, you have to do well in all three.

If you’re unskilled at editing, it doesn’t matter how much time you saved when writing.

Or maybe you’re a fast editor but very bad at research. In this case, your bad research will make you take longer to write a decent story.

You end up working fast in some parts, which makes you feel productive. But then you lose time on one task, dragging the whole project back. That’s a  bottleneck .

When you finish, you wonder:

How could it take that long if it started so well?

You can only go as fast as your slowest process . And if you ignore the problem, it’s going to exponentially reduce productivity.

Fast work is simple. It’s not about being faster at the things you do well, but those you do slowly. The seven following strategies are the easiest ways to boost your productivity.

#1 Single Tasking

One of the reasons you want to work faster is to work on different projects. After a while, any project gets boring. So, we try to split our time equally every day to make progress on everything. And it doesn’t work very well.

There’s this false belief that your productivity splits in all the projects you multitask. But what you don’t realize is that  context switching costs you 20% of your performance  for every extra project. Two tasks aren’t 50/50, but 40/40. Three don’t make 33% each, but 20%.

But let’s say you have multiple important projects. How do you avoid losing this 20%?

  • Don’t commit to any future tasks until you finish the current project . Until then, look at those tasks as optional
  • If your boss assigns you a second project, ask which one of the two you should finish first. If you find resistance, explain how single-tasking makes you work better and faster, and how that benefits the company
  • Take short breaks when switching tasks to avoid multitasking mentally

Some projects take a long time. So if you don’t want to delay the others for too long, you can still work on them every day by setting  time blocks .

#2 Energy Timing

Within the same project, you can find that some tasks are harder than others. Maybe it’s because of your skills, or what type of work it is.

It’s tempting to postpone the hard things and start with the easier ones. But by the time you do that, you have less energy and motivation to complete the hard task. And when you work in those conditions, it takes you longer to produce anything.

The one-size-fits-all solution: do the hardest task first . You arrange your daily activities from most to least energy-intensive.

High energy could be analytical work that requires you to focus. Low energy can be creative work and brainstorming. They’re both important, but you do them faster when it matches your energy levels.

Here’s a straightforward exercise:

  • For the next 3-5 days, ask yourself how energized you feel every 1 to 2 hours (excluding sleep).
  • You answer from 1 to 10, being 1 no energy/wellbeing and 10 being optimal energy/wellbeing

You can do it just one day if you’re impatient, but the data won’t be as reliable.

Note: If you drunk coffee, worked out, had a bad night, or anything, you write that down as an observation.

Once you gather the data, you may find that you have similar energy levels at the same time every day (it changes with every person’s  ultradian rhythm ).

  • Do the hardest tasks whenever you have the most energy
  • If that time isn’t available, use your second best time
  • When you have low energy, use that to complete tedious or creative tasks (as long as it doesn’t involve  deep work )

#3 Time Challenges

It’s a common belief that “practice makes perfect.” But unless you challenge yourself, you’ll never improve. So if you want to work faster, you need to be intentional with your work speed .

Here’s a time challenge I use to become faster every time:

  • Start choosing your session length (e.g., 20 min). What’s the longest you can feel comfortable working at full speed without feeling drained?
  • Whenever you start one session, you try to beat your best time

This exercise assumes you have a metric to measure how much work you do per time, which could be words, calls, or pages. If your career doesn’t have such numbers, your metric can be any  two-minute task  that moves the needle.

In the beginning, you will smash your record every other day. But as you gain experience, your record will become harder to beat. At this point, you can get discouraged from working and feel stuck. Whenever this happens, focus on executing the task as best as you can :

  • If you’re good enough to beat half of your record, you should start immediately. But if your focus level is too low to do it, you’ll work faster after you take a break
  • If your record gets stuck on high numbers, it’s time to increase the session length

This way, you’re improving your speed and endurance.

#4 Brain Dumps

You work the fastest when your skills match the challenge level. When that happens, you get so involved in your work that nothing else seems to matter. That’s what we call the Zone or flow state .

The problem?

Staying in that state of flow requires a lot of concentration . And if you have no experience working in flow, every thought can break your concentration.

You will think about everything during a work session. From the items you forgot to pick up at the grocery shop yesterday, to the problems you will have in the next phase of the project.

And if you don’t find a way to handle those thoughts , you will feel overwhelmed and lose focus .

The bottom line:

“ Your mind is for having ideas, not holding them.” – David Allen

To maximize the hours you are in flow, you have to store those thoughts somewhere. A great technique for that is a Brain Dump .

Here is a quick Brain Dump exercise you can do in 10-15 minutes:

  • Grab a piece of paper and write for 5-10 minutes about what worries you about the current project and your life
  • If you have so much work that it feels endless, create a list with all the tasks your can think of
  • If a task isn’t important, delete or postpone it
  • If a task relates to each other, you can save time by  batching  them
  • Organize the list by priority based on what’s  the most urgent and important
  • Add those tasks to your to-do list or calendar

Although it sounds basic, the power comes from moving your thoughts to paper. Without losing energy keeping track of thoughts, your brain can allocate more energy for focus.

It can make you think about 20% faster.

#5 Checklists

As a knowledge worker, you may have recurrent tasks, even though each product is different. For example, how to troubleshoot , plan a project , or research a topic .

When working on something complex, we spend most of our time figuring out what to do and why. And whenever you start a session, you have to remember what you did last time and what to do next.

Maybe you know how to focus at work, but it takes you 40 minutes to understand things and do the actual work. You can reduce that time about 5 times by creating a checklist .

Here’s how:

  • Define what your checklist does and what steps you would follow
  • Test the checklist by following those steps and nothing else
  • If you didn’t get the right results, correct and expand your checklist with your observations
  • Test again, and keep repeating until it’s accurate

If you’d like to work faster, you may want to create a “time management checklist.” It’s basically a flow chart that points to what project you should work on. If project A is delaying, you work on project B, instead of waiting for A to resume.

#6 Double-Loop Work Sessions

You can only do so much with time management. It all comes down to the complexity of the task. If it’s simple to understand, you’re going to work faster .

I’m a bit of a perfectionist who likes brilliant work. I don’t tolerate mediocre quality. But if you try to build something great from nothing, you’ll spend a lot of time just thinking.

Here’s what I’ve found:

It’s a lot easier to say why something is wrong than why something is right.

It’s faster to correct work than coming up with amazing ideas. And you can use this to your advantage:

  • The next time you work, challenge yourself to finish as fast as possible, even with a low-work quality. Allow yourself to create garbage, and forbid to edit/polish
  • Set a timer to discourage perfectionism. Once the alarm goes off, you can’t write anything else
  • When you finish,  then  you can correct what you don’t like

It may seem like you’re wasting time by working twice. But the mental work is much lower, which is why you can finish it 200% faster or more.

The question is: Do you have the humility to accept less-than-perfect?

#7 Intentional Focus

It’s no secret that work gets done faster when you focus . But it’s not easy to get into that state.

You may need to struggle for half an hour before you can focus, and most people give up before that happens. But you can use some mental tricks to make it happen faster. You just need to show yourself more intentional with work .

Imagine if, before working, you did all those little things productive people do:

  • Clean the room
  • Look your best
  • Take a cold shower (if you’re at home)
  • Eating healthy
  • Working out
  • Meditating 5-10 minutes
  • Writing down your goals
  • Preparing your virtual desktop

Are these things going to make your work faster? Maybe. But if you do all of them, you’ll suddenly find yourself very motivated. Because when you condition your environment, the brain understands your intention and adapts to it.

The more you prepare for work, the easier it is to focus when you start.

If you didn’t do all that, you may probably wonder:  “Why should I do this work at all?” . But if you set your intentions right, you instead think:  “How can I do this the best I can?”

How to  Really  Work Faster

Nothing is faster than the subconscious mind. It governs over 95% of our lives. It’s responsible for our habits and survival. And we can use that power to our advantage.

Our brains like consistency. And once something is predictable, they’re going to adapt to that scenario. So if you work consistently (same place, same time), you magically  become faster over time .

If you want speed,  stop changing things all the time . If you find a new strategy, say No for now.

Instead of adding one strategy every day, add them all at once every week or month as a “system update.”

How To Work Faster With 10 Simple Tips

At the end of the workday, there is one thing that brings everyone together. Regardless of industry, job title, or experience level, we all share one common goal: to get our work done, as soon as possible. Think about it. Do you know a single person who would turn down the opportunity to work faster? 

When it comes down to it, we all work in order to live life the way we want. There are many other motivations for work, including personal fulfillment, the desire to make an impact, or even a genuine passion for what you do. But even so, 72% of people say they work to live , proving that work is often just a means to an end. 

This is probably why so many people (including yourself, as you’ve clicked on this article) are interested in optimizing their workday. The more efficient you are at work, the sooner you can get back to your life. At Hive, we believe work life balance is totally possible. 1. Know your strengths and weaknesses. 

If you want to work faster, you must understand your own personal strengths and weaknesses.  This will help you prioritize tasks and manage your time appropriately. When it comes to your strong areas, maybe save those tasks for the end of the day, when you know your brain is tired and less up for a challenge. 

Knowing your weaknesses will also save you time. Maybe someone else is actually better suited for the task, and you can delegate it out to them. Or maybe you should put those responsibilities first on your to-do-list, so you can knock it out before moving on to other things.  This is often called “eating the frog,” and is one of the best productivity tips out there. 2. Use your resources. 

Luckily for all of us, we live in an era where there is an abundance of productivity tools to help you work faster. No matter what is slowing you down at work, there are tools that can help. Do you have trouble focusing? There’s an app for that. Do you keep getting up because your back hurts? There’s an ergonomic chair for that. Do you need a more organized way of working with teammates? There’s a reason “that meeting could have been an email” has become such a popular phrase, and even a meme, in the past couple of years. In a CNBC study before the pandemic-influenced shift to remote work, 67% of workers said excessive meetings keep them from getting their work done. And even in today’s remote work environment, Zoom fatigue is a real problem.

After a break or a distraction, it takes an average of 23 minutes and 15 seconds to get back to the task, according to a University of California Irvine study. Making sure your workspace is clean and your home office organized , as well as putting your phone and social media away can collaborate to improve your focus. You can also shut-off all notifications from your devices. Creative tasks in particular require you to reach a flow state . Some psychologists describe this as a “state of complete immersion in an activity.”

To reach a flow state, you’ll need to block out stretches of uninterrupted time each day. Turn off notifications from apps and websites while working, and avoid checking your emails and messages.

Ideally, try to schedule meetings on certain days of the week or at certain times of the day, so they don’t cause constant interruptions. If a meeting doesn’t strictly need to happen, it’s better to make it an email instead.

A few tips to avoid distractions while working from home: work from a clutter-free, closed room with a desk, and practice asynchronous communication when possible.

Also, turn off your phone or switch to silent mode. Switch off social media, mute desktop notifications, and close applications that you don’t need.

If you’re struggling with background noise from family members or neighbors, try using a white noise app or noise-canceling headphones.

5. Practice time blocking

There are many time management techniques out there designed to help you get more work done, faster. One of these techniques is called “time blocking.”

Time blocking means breaking your day up into short blocks of time, each of which is devoted to a specific task.

It’s a great way to:

  • Fight perfectionism by giving yourself a fixed amount of time to complete each task 

With time blocking, you can fight “ Parkinson’s Law ”, a classic saying coined by historian and management scholar Cyril Northcote Parkinson in 1955. 

Parkinson’s law states that “Work expands to fill the time available for its completion.” If you’ve ever found yourself dragging your feet when working towards a far-off deadline, you know just how true this can be.

There are several variations on time blocking, including timeboxing and the Pomodoro Technique .

Timeboxing is very similar to time blocking. But it includes less flexibility and strict deadlines limiting how much time you can spend on each task.

The Pomodoro Technique, invented by business consultant Francesco Cirillo , is a very granular type of time blocking that involves working in 25-minute intervals separated by short breaks.

6. Practice mindfulness and meditation

Wondering how to work fast in the long term? It’s not enough just to work quickly each day.

You also need to be able to manage stress. Otherwise, you won’t be able to sleep well and recharge, and you may struggle with inefficiency and burnout.

Techniques like mindfulness and meditation can help you relax. Harvard researchers have found that our minds are lost in thought 47% of the time, and these intrusive thoughts can lead to anxiety and depression.

Researchers at Columbia University Medical Center claim meditation can change the structure and function of the brain , blocking out unwanted thoughts while increasing focus and improving attention span. Meditation may increase the brain’s ability to process information, according to research cited by the U.S. National Institutes of Health (NIH) .

There are several different types of meditation you could practice:

  • Mindfulness meditation is all about focusing on your breathing and being hyper-aware of the sensations you’re experiencing.
  • In concentrative meditation, you’ll focus your attention on a particular point (such as a word, a breath, or an object.) 
  • Some types of meditative relaxation practices, such as yoga and tai chi , involve moving your body in specific ways.  

7. Disconnect from work

Sometimes, it’s important to leave work at work. While it may be difficult to put down an urgent project or “let go” at the end of a stressful day, overworking is a one-way ticket to burnout.

Seventy-six percent of respondents to a Korn Ferry survey said stress at work has had a negative impact on their personal relationships. Sixty-six percent said they had lost sleep due to workplace stressors.

And studies have shown that productivity drops sharply after 49 hours of work per week. Working longer hours is not worth it if you want to get things done faster each day. To avoid burnout and encourage healthy disconnection, avoid overworking yourself (and your team). If you’re a manager, make sure to monitor your team members’ work schedules and billable hours , so you don’t accidentally end up overscheduling someone with too much work. It’s also important to take time off and encourage the team to take time off for vacations or public holidays.

Time management systems allow you to prioritize and organize your work, but how do you optimize the velocity of each task?

Here are six tips you can use right away.

Allocate Less Time for Tasks

In 1955, The Economist published an article titled "Parkinson's Law: The Pursuit of Progress" by Cyril Parkinson.

It's a complex study of bureaucracy and how government organizations tend to create work for one another.

Over the decades, the world of organizational productivity distilled Parkinson's law into this one basic principle: "Work expands to fill the time we give it."

A couple of tongue-in-cheek versions of Parkinson's law include:

  • If you wait until the last minute to do something, it only takes a minute to do it.
  • Work contracts to fit in the time you give it.
  • In a ten-hour day, you have time to fall twice as far behind your commitments as in five hours a day.

The point is you can work faster by allocating less time for your tasks.

If you set aside a day to draft a monthly report, try setting aside four hours.

If that works, try setting aside three hours.

Keep honing the time you allocate to tasks to minimize time spent.

You can do the same thing with meetings.

Does every meeting need to take an hour?

We're used to hour-long meetings, but they don't all have to take that long.

If you want to work faster, schedule meetings for 15 or 30 minutes.

You’ll be surprised how much more efficient your conversations will be when they have a hard stop.

Turn Off Alerts

The electronic alerts that notify you when an email, text, or chat message is in your inbox are productivity killers.

Every time you move from a task to check a message, your brain switches gears, and researchers estimate it takes 20-25 minutes to regain focus on your original task.

This shift is known as "switching time" that time slows you down.

That said, all those messages will need your attention at some point.

You can timebox, (which means setting specific times in your calendar,) to view and respond to emails, texts, and instant messages.

You may have to set (or reset) peoples' expectations for your response time if you're known as someone who responds right away.

In most chat apps, you can create a do-not-disturb notice so that people can see that you are not available.

While you may be slower to respond, you’ll work faster and finish deliverables sooner.

Do One Thing at a Time

There was a time when " multitasking " was a badge of honor.

Being busy and juggling multiple tasks simultaneously were seen as a signs of talent and power. 

That ship has sailed.

Study after study has found that multitasking is actually a productivity killer.

The time it takes to switch focus is one reason multitasking doesn't work.

And there's also evidence that multitasking reduces cognitive functioning.

Our brains are being rewired when we constantly move between stimuli, and it's causing us to lose our ability to focus and do the deep work that will make an impact.  

A study of knowledge workers found 92 percent read emails and other messages during meetings and cannot remember decisions or action items as a result.

"Frequently switching between tasks overloads the brain and makes you less efficient," said Sandra Bond Chapman , Ph.D., founder and chief director of the Center for BrainHealth. "It is a formula for failure in which your thoughts remain on the surface level, and errors occur more frequently."

To work faster and wiser, Chapman recommends:

  • Focus intensely, without distraction. Silence your phone, turn off your email and try to perform just one task at a time. Start with 15-minute intervals and work your way up to more extended periods.
  • Give your brain some downtime. Taking a break will help make space for your next brilliant idea because a pause in constant thinking slows the mind's rhythms to allow more "aha" moments.
  • Make a to-do list. Give the most important tasks your brain's "prime time," as Bond called it. Working fast on unimportant tasks is good, but tackling the critical stuff is better. You want to work faster, but you also want to work smarter.

Double-Check Everything

It might seem counterintuitive that taking extra time to review work thoroughly will help you work faster.

But tasks that are incomplete or inaccurate will cost you more time overall.

In a fast-paced environment, the balance between quality and velocity is crucial.

You want to move initiatives forward as quickly as possible but speed is counterproductive if quality assurance is lacking.

Time is one of the hidden expenses of inadequate quality control, according to quality consultancy ETQ .

Using the iceberg metaphor, lost revenue, rework costs, reputation, and customer satisfaction are the most visible costs above the waterline.

Lost time delivering a quality product is under the surface but just as damaging.

Simple quality control checks you can do every day include:

  • Spelling and grammar in documents
  • Data in spreadsheets and CRMs
  • Bills, invoices, and payments
  • Schedules and meetings
  • Travel plans
  • Event logistics
  • Sales reports
  • Third-party and internal data used in reports

Doublechecking and validating the quality and accuracy of your work will save time in the long run.

It will also save you some embarrassment, especially regarding sensitive emails, important meeting invitations, presentations to your managers, and high-profile reports that can also set back your career development.

And it's always a good idea to have a coworker review important projects before checking them off as complete.

A classic example of this is proofreading.

It isn't easy to proofread your own work, especially if you've already gone through multiple drafts, but others will spot your errors in a second.

Yes, it can be uncomfortable.

But it will help you get work done faster.

A colleague's review can also help share ownership of the task and the end work product you create, creating team morale that elevates your business to the next level.

Avoid Perfectionism

Ok, yes, it is important to double-check your work.

But that does not mean you have to triple and quadruple check it.

Perfectionism is another enemy of productivity and workplace velocity.

When your presentation for a customer meeting reaches version 47, something's gotta give.

And this is another area where getting feedback from colleagues can help.

Get your first draft of your project done, ask for input, accept what makes the project better, and call it done.

Remind yourself that there is no such thing as perfect.

Getting something done and refining it with others result in faster and better-finished products.

Delegate Tasks

But the #1 best way to work faster?

Give your work to someone else.

If you have a hard time delegating , consider that you already do a lot of it.

Do you clean your own house, or mow your own lawn?

You outsource tasks all the time that need to get done, but they don't necessarily need to be done by you.

A lot of the time you lack the time, expertise, or interest to complete these tasks, and you know that it will make your life easier to have someone else do them. 

Business is the same, and employees aren't your only option.

You can also delegate responsibilities to contractors, freelancers, and agencies.

Examples of functions that get delegated include:

  • Advertising
  • Website development
  • Graphic design

Delegating these tasks is the obvious choice, because they're tasks that are not central to your business but they do require expertise that most executives don't have.

A software business leader is not an advertising expert, for example.

But what about the tasks that you're capable of handling, but that steal time away from the deep work you want to be doing?

The delegation that executives often struggle with has to do with work that is integral to the business, but doesn't require a specialized skill.

These everyday tasks keep the company moving forward, but they are not appropriate for the executive role.

Examples include:

  • Calendar management
  • Email communications
  • Invoicing and payment processing

If you delegate these time-consuming tasks to a virtual assistant — someone who specializes in this level of organization— you'll feel a lot less overwhelmed and have much more time to focus on the work that only you can do.

If you're constantly fielding phone calls, consider outsourcing your phone system to a cloud PBX system , which will free up your time and help you prioritize tasks that require your attention.

Get More, Better Work Done

Follow these practices and you'll be sure to get more done in less time. 

As a bonus, the quality of your work will improve too.

Your brain performs better when focused and not distracted, and investing a few minutes in quality control makes your finished product better.

Sometimes, you have lots of work to do but you realize that time is seriously against you. Maybe you even become so worried that you no longer know where to start. Perhaps you have tried your best but you’ve not been quick enough to complete each task on time and each of them now piles up in front of you. Worry no more. We are here to give you tips on how to do more work within little time.

Sometimes you think all will be fine, the moment you work hard. Well, you aren’t totally wrong. But if you want to do more in little time, you should learn to work smarter, not harder . Enough of the talk, let’s go straight to the tips.

1. Wake up very early

Add more productive hours to your life by rising up very early in the morning to begin the day’s activities. Beginning your day with some tasks will leave you with less work to do later on that day. Set alarm to wake you up very early each day. Aside adding more productive hours to your life, your brain will be fresh and your concentration will be extremely high, so that you can bring out the best in you.

2. Have a to-do list

Have a plan to follow by writing the tasks you want to perform each day. The list will help you in two major ways. No task will skip your mind and it also registers some kind of urgency in your mind by making you realize that you still have plenty things to do. Ensure your to-do list is very practical. Don’t overload the list with tasks that you know you can’t do.

3. Begin with the hard tasks

Start with the tasks that appear most difficult. You should make it a habit to arrange your tasks in the order in which you want to perform them. A lot of people make mistake by beginning with the simple task. When you start with the difficult ones, you will feel so relieved after completing it and hence, it makes you even more productive. Next time you have a number of things to do, begin by eating the frogs you have on your list.

4. Take away all distracting items

Some objects will only slow you down by distracting you. Such objects include; mobile phones, entertainment magazines and many others. You don’t expect to work fast when you keep distracting yourself using items that are not helping you in the work you are doing at that moment. When you have your phone around you while engaged in a serious work, you may be tempted to check your mails, view some posts on social media or reply a friend’s message. All these will slow you down.

5. Reject unnecessary offers that may keep you away from your work

Maybe you have a friend who is always inviting you out for a talk, games or any other trivial thing. You should learn to reject unimportant invitations and outings. Let’s say you have something to write on, and a friend is inviting you for a game, there’s nothing wrong in saying; “I’m sorry I can’t go with you now, I have an essay to write and no one will write my essay for me if I follow you”.

6. Focus your energy on one task

Don’t be switching from task to task. Multitasking will slow you down while giving you the impression that you are moving fast, not until you carefully analyze it. 11 Practical Tips for Finishing Your To-Do List Faster

Chances are, you've heard this phrase before -- and probably more than once. The philosophy behind working "smart" is to maximize your productivity when you  are  working so that you can get more stuff done in shorter periods of time. By working smarter, you'll find yourself with more time in the day to sleep, exercise, be creative, and recharge.

(Oh, and it just so happens that those relaxing things also  make you more productive when you get back to work again -- and so the cycle continues.)

Most of us use to-do lists to keep track of what we need to do and how much we've gotten done. These lists are loose ways of measuring how productive we are: When we've successfully crossed everything off our list, we feel really really accomplished. 

The key to getting through your to-do list faster is by working smarter -- without sacrificing the quality of your work. How is that done? Here are 11 tips to help you get through that to-do list as efficiently as possible.

11 Tips for Getting Through Your To-Do List Faster

1) choose the to-do list app or tool that works for you..

Don't get me wrong: I'm a big fan of good ol' pen-and-paper to-do lists. But unless you want to carry a physical notebook around everywhere you go, it makes sense to use a to-do list app or tool that syncs across all your devices. That way, you can access your to-do items whenever and wherever you need to, whether you're at your desk, in a meeting, or on a business trip.

There are a lot of to-do list apps and tools out there, though ... so which ones are the best of the best?

Actually, the best one  for you depends entirely on your working style and personal preferences. Here's a list of 10 of the best to-do list tools and apps . It includes descriptions of how they work and which features they include so you can choose the one(s) that fit closest with your style.

2) Write out your to-do list the day before.

When you plan out what you're going to do the day before, a few good things happen. 

For one, you'll be able to dive right into your to-do list in the morning, freeing you up to get more done during one of the most productive times of day.

Secondly, planning out your day in advance can help you spot obstacles ahead of time, which can help you reduce the total time you spend working on a project.

Finally, knowing what you have going on well in advance could help you relax and sleep better the night before -- and a good night's sleep is important not only for productivity but also for health and happiness.

Before you head home from work each day, spend a few minutes looking over your calendar for the next day and writing a to-do list -- perhaps using that new favorite to-do list app or tool.

3) Separate your work and personal to-do lists.

When you're in the office, you shouldn't be worrying about cleaning the oven, feeding your chinchilla, or picking up a birthday card for your mom. Likewise, when you're at home, you should do your best to unplug and be present in the moment -- without worrying about those looming work deadlines. We all know there's always more you could be doing, but  you'll be  happier and more productive if you focus on work when you're at work and on life stuff when you're at home.

The simplest way to separate your work and personal to-do lists is by keeping multiple lists separated on the same tools or apps. Or if you find it hard to stay focused on one or the other when they share an app or tool, you might use different tools or apps for each part of your life.

I personally keep three separate lists in three locations: My personal to-do list is in my written planner, my grocery and packing lists are on my phone, and all my work to-do's are on my computer in the Todoist desktop app . There are other similar tools like Asana , Teamwork , ClickUp or even HubSpot Task Management that can help you organize your to-do's. Find the system that works for you.

4) Keep a "to-don't" list.

Here's a productivity trick that'll help you focus on what really matters: Remove any items from your to-do list that you're not realistically going to do and put them on a "to-don't" list. That way, you aren't wasting any time on the things that don't really matter. This'll help you prioritize the more urgent list items and get through everything faster.

What's more, you'll probably feel less stressed overall without those less important things hanging over your head. I'll always remember what Arianna Huffington said in her keynote at INBOUND 2014 :

'I discovered early on in life that you can actually complete a project by dropping it,' she said. And this has been incredibly useful to me. For example, I thought that I was going to learn German. I thought I was going to become a good skier. I thought I was going to learn to cook. And one day, I decided I was actually never going to do any of these things. So I dropped them ... You just have to decide, what are you going to put your energy into and what you're not going to put your energy into, and that's just as valuable."

5) Stay accountable by sharing your to-do list.

Not only is sharing your to-do list with colleagues a great way to collaborate, but it's also a great way to hold yourself accountable. Having to share your to-do list with others in the first place will force you to spend some time prioritizing your tasks and thinking through which ones you'll be able to realistically complete. You might find that when it comes to actually knocking them off the list, you'll feel healthy pressure to get everything done in the time period you promised.

There are a lot of different ways to share your to-do list with your colleagues. Here at HubSpot, the blogging team has a daily standup where we come together briefly in the mornings to, among other things, list out what we're working on that day. If we find ourselves repeating the same task over a series of consecutive days, it becomes clear to ourselves and our colleagues that we either need to prioritize that task to get it done, or reevaluate whether it really needs doing in the first place. You can also use collaborative to-do list apps like Trello or Wunderlist to share tasks with others digitally.

6) Block time on your calendar to knock things off the list.

When you literally reserve blocks of time in your online calendar to get specific tasks done, it can be much easier to focus and get your work done quicker. Plus, it prevents others from setting up meetings with you during that time. Need to do some last-minute prep for a presentation at 4 p.m.? Block off a 1-2 hours in the morning or after lunch so no one bothers you during that time. Need to do some research before an important call? Block the half hour before the call starts.

Even if you don't have a specific project you want to tackle, you can still block off time to cross things off your to-do list. HubSpot's Director of Marketing Debbie Farese told me once that she blocks time off on her calendar and labels it "GSD" (Get S*** Done) so she can work for longer stretches without getting disturbed.

7) Batch similar tasks in the same time frame.

Ever been doing online research one minute, and find yourself writing a one-off email another? Perpetually shifting your focus like that can add up to a whole lot of wasted time. In fact,  a study by the American Psychological Association found  that shifting between tasks causes temporary mental barriers, depleting our productivity by as much as 40%. 

Instead of completing tasks as they come up, consider doing batch tasking, or batch processing. This is a handy time management hack in which you take similar tasks -- like answering email, scheduling out your tweets , and so on -- and "batch" them together to get them done faster. For example, you might set aside a full hour each morning to read and write emails. Or, perhaps you dedicate your Friday mornings to writing blog posts.

HubSpot VP of Growth Brian Balfour once said he thinks the worst habit people have is not batching their emails. He typically batches email twice per day: first between 11 a.m. and 12 p.m., and then between 4 p.m. and 5 p.m.

Over the next few days, pay attention to the tasks you find yourself doing on a one-off basis that could be hurting your overall productivity and consider batching these tasks.

8) Physically remove distractions.

Speaking of losing precious productivity when you shift your focus, distractions like notifications, phone calls, and noise in the office can make it much harder to get through your to-do list quickly.  Gloria Mark of the University of California, Irvine found that a typical office worker gets only about 11 minutes of work done between each interruption, while it takes an average of 25 minutes to return to the original task after an interruption.

There's only so much you can do mentally to close yourself off from these distractions. When you see a Facebook notification pop up telling you your friend just posted a new video to your Timeline, how are you  not  going to look? Remove those temptations by physically removing stuff like notifications ( for email , for Chrome , and so on), turning your phone on airplane mode, or even putting your phone in your bag except when you're taking a break.

If you really need to focus, you might even move yourself to shut out in-person distractions. HubSpot Demand Generation Manager Amanda Sibley told me , "If there is something I must get done in a day -- a deck due to our CMO, for example -- then I turn off email and shut myself in a room for an hour or so until it's done."

9) Work in sprints, follow by periods of rest.

Similar to batching similar tasks together, doing work in regular intervals with breaks in between is another way to check more off your to-do list, faster. There are several sprint-and-rest techniques out there, but the Pomodoro Technique is a favorite of ours . It's a productivity-boosting technique developed by neuroscientists that can help you concentrate for longer periods, avoid distractions, maintain higher energy throughout the day, and lower your stress levels.

The Pomodoro Technique is all about taking advantage of our natural rhythms of energy and fatigue. Here's how it works: You work in 90-minute intervals, followed by 30 minutes of rest between each interval. Why? These time frames are based off our ultradian rhythms, which are the 120-minute biological intervals our bodies operate on throughout a given day. These 120-minute intervals are broken into a series of peaks, when we're feeling energized, and troughs, when we're feeling fatigued.

When you work in 90-minute intervals, you're working when your energy is highest, and resting when your energy is low so you can recharge and get back to being productive.

The point here is to not fight the times of day when we naturally feel exhausted. Instead of working against  our bodies by loading up with caffeine, eating sugar foods, or just simply "biting the bullet" and working through the fatigue, we're working  with  our bodies to take rests when we need them.

You can keep track of the time by just keeping an eye on the clock, but if you prefer to use a desktop timer, my colleague Scott Tousley suggests using  Pomodoro One  for Mac or  Tomighty  for Windows. It's as easy as pressing start and stop.

10) Reward yourself for completing tasks.

If the break alone isn't enough to keep you laser-focused during periods of work, try using a rewards system. Once you knock three items off your list, or once you finish a particularly grueling task, you can allow yourself to check Twitter, eat a snack, or go to the gym.

Sometimes, I plan a break with coworker where we agree to grab coffee together once we're done with a task on each of our lists. It's a less direct way of keeping each other accountable than standup or sharing our to-do lists, and the reward -- a nice break with a friend -- is much sweeter.

11) Try the "dead battery countdown."

Here's a handy productivity trick from my colleague  Ginny Soskey , who manages HubSpot's Marketing Blog. Bring your laptop with you to a remote location without your computer charger, and aim to get your to-do list done by the time you leave. This is a way of gamifying your productivity, and it works: The pressure of a looming deadline can do wonders to keep you focused and working smarter.

Red Cross CNA & NAT Training Classes

After careful consideration, the American Red Cross has decided to discontinue its Nurse Assistant Training (NAT) program. No Red Cross NAT course will be scheduled after December 31, 2023. What is a CNA?

A CNA, or Certified Nursing Assistant, works in a healthcare setting to provide basic care to patients. Sometimes referred to as a nursing assistant or nurse's aide, a CNA works under the direction of a Registered Nurse (RN) or a Licensed Practical/Vocational Nurse (LPN/LVN) and is trained to help patients with daily tasks like bathing and dressing, as well as checking patient vital signs, and beyond.

How Do You Become a CNA?

To become a CNA, you will normally need to complete a state-approved training course and pass the state certification exam that includes both a written section, and a hands-on competency skills section. You can check training eligibility requirements, such as minimum age or education, with the agency regulating this training in your state. Note that individual training programs may have additional requirements. Once you’ve completed training and pass the CNA certification exam, you can then be placed on your state’s nurse aide registry.

Where Does a CNA Work?

CNAs can work in a variety of healthcare settings, including hospitals, nursing homes, assisted living facilities, hospices, and home care.

What Does a CNA Do?

While it depends on the healthcare setting you choose, CNAs provide comfort and care to patients who have an illness, injury, or disability—or who just need extra help caring for themselves. Some common responsibilities, depending on the setting, may include:

  • Dressing, bathing, grooming, feeding, and toileting
  • Taking vital signs
  • Infection control
  • Turning/repositioning in bed
  • Responding to patient calls
  • Assisting with range-of-motion exercises
  • Preparing rooms for new patients, and more

What's the Difference Between a CNA, Medical Assistant (MA), and LPN?

While CNAs, MAs, and LPNs all provide care and work in a healthcare setting, there are key differences in the tasks they can perform, as well as the training and level of expertise required:

  • CNAs. As mentioned above, CNAs work under LPNs and/or RNs to assist the nurses in providing care to a patient. The required training for CNAs can be completed in weeks.
  • LPNs/LVNs. Offering a higher level of care than CNAs, LPNs are the only ones in this group that can be called "nurses". They have more autonomy than CNAs, although they still work under the supervision of RNs and doctors. They help with tasks that go beyond basic care, including administering injections/first aid, assisting with minor surgeries, updating health records, and more. Because of this, LPNs require more education and training (1-2 years), and they also tend to have higher salaries.
  • Medical Assistants (MA). While CNAs work under the supervision of nurses, and LPNs under the direction of both doctors and nurses, MAs work solely under the supervision of a physician and mostly in outpatient settings, like private doctor's offices or outpatient care centers. They administer medications, take/record vital signs, give immunizations and breathing treatments and, in some cases, help with minor in-office procedures. Like LPNs, MAs require more training than CNAs (9 months-2 years).

Choosing a CNA Program

Be sure to do some research before you decide on the right CNA program for you. In most states there are many options for CNA training, including independent training schools and community colleges. Some facilities such as nursing homes, hospitals and home health agencies will offer training to staff or prospective employees. While federal requirements are the same, it's important to note that admission, curriculum, and certification requirements will differ depending on the state you live in. You can check with your state to learn about these requirements and to verify that a program is state-approved.

Many states have additional program information available, such as state certification exam pass rates or any regulatory action that has been taken. After you've done your initial research, your decision will come down to personal issues like cost, location, length of program, and whether the courses are offered at a convenient time.

CNA Salaries, Career Growth, and Outlook

According to the U.S. Bureau of Labor Statistics, the outlook is bright for CNAs. Overall employment is expected to grow four percent between now and 2032. That means there will be 210,000 openings each year over the next decade. While salaries will vary depending on where you live and the type of facility you work in, the median salary for CNAs in the U.S. is $35,760 (as of May 2022*).

This can create a serious bottleneck, as the required materials are there, but no Pals are actively producing the items that the character needs. Luckily, one Pal with the fastest hands in the entire game can quickly solve any bottleneck in just about every scenario.

No. 100 in the Paldeck, Anubis has a base Work Speed of 70 , putting the Pal as the most efficient when it comes to creating items in the base.

In addition to a Level 4 Handiwork skill, Anubis also has Level 3 Mining and Level 2 Transporting.

Those tired of waiting around for a random Pal with Handiwork to come over and help with the production need not wait when an Anubis is thrown at the workbench. Using this method, it's possible even further to increase Anubis' already quick work speed, creating what is not only a formidable Pal on the battlefield but also an amazing Handiwork Pal that can create just about anything in mere seconds or clear up a long queue of items that is stuck.

Palworld Passive Skills can also go a long way in improving Work Speed generally, with traits like Serious improving Work Speed by 20% and Artisian improving it by 50% . Breeding these passives into an Anubis specifically bred for Handiwork can clear up any potential production bottlenecks in any Palworld base. Even at a base level, a single Anubis working on a Pal Sphere assembly line can produce Giga and Mega Spheres in seconds.

Weak to Grass but powerful against any Electric-type Pals, there's actually a much easier way to get an Anubis, and it has nothing to do with capturing one.

Anubis is one of the easier Pals to get in Palworld via breeding, as it has a variety of different combinations that will result in one. To Breed Anubis in Palworld , one will need a Breeding Farm, Egg Incubator, Cake, and two Pals that will result in an Anubis being born. Once the Huge Rocky Egg is laid, it actually takes quite a long time to hatch. One of the earliest and easiest breeding combinations for an Anubis is Peking and Bushi , but there are a whole variety of other combinations, including:
