Writing your assignments – tips and wrinkles

Most of us feel anxious and stressed about writing work for assessment – whether it is a short piece for a Level 2 Award, an extended essay for a Master’s level Diploma or professionals writing a report for clients or supervisors. This blog however is about writing assignments for ILM accredited qualifications through British School of Coaching.

So, what is the best approach to writing an assignment? I think about three components before starting to write:

  • Read the question (assignment task, assessment criteria);
  • Answer the question (fully address each assessment criterion);
  • Check – have you fully answered the question (fully addressed each assessment criterion)?

Let me explain.  The primary purpose of assessment is so that you, the learner, can demonstrate that you can perform to the standards set in order for qualifications or units can be awarded. We, assessors and internal verifiers are therefore looking to see that you have demonstrated your achievement of the learning outcomes for the programme.  Assessment critieria are set out clearly with lots of detail about what is required in the assignment task. These are replicated in the marksheet which the assessors use to give marks for your work, and more detail is provided in the sufficiency descriptors.

So, before you start to ‘put pen to paper’ (or, fingers to keyboard, more probably!) read the whole of the assignment – from the task set out at the beginning up to and including the final assessment criterion.  Overall, this defines the standards against which we will award marks.  Assessment is about making a judgement as to the extent to which the required learning has been demonstrated. We can ONLY make this judgement against the assessment critieria – is the evidence provided in your assignment ‘suitable, sufficient and correct’. The sufficiency descriptors give you guidance about what you need to put into your assignment in order to achieve a ‘pass’ (50%) or a ‘good pass’ (75%).  We as assessors and internal verifiers can only allocate marks against the assignment criteria, using the sufficiency descriptors as a guide.

Of particular importance in each assessment criterion is the verb – what is the standard asking you to do?  For example, you may have written a brilliant description of ‘strategies other than coaching’ – but if the assignment asks you to ‘critically analyse’ these strategies, then simply describing them will not be sufficient.  You need to describe it first (so that you demonstrate that you understand what you are going to analyse) and then ‘critically analyse’ it. ‘Critically analyse’ has two elements. ‘Analyse’ means to ask: what makes the strategies work the way they work?  The ‘critically’ component of the assessment criterion asks, what makes this work the way it does and why? The addition of ‘and why’ requires an extra level to your work. This requires informed judgement and reference to theoretical models – in this case, it would be theoretical models of personal or organisational development.  The verb is an indicator of the level or depth of information required to satisfy the criteria.

In this example, the criterion is asking for you to consider ‘alternative strategies. So, describing more than one is absolutely crucial.  However well you ‘critically evaluate’ one alternative strategy this cannot achieve a pass mark. You are required to critically evaluate more than one strategy – two will be sufficient and it is not necessary to consider more than two alternatives.

Finally, consider how you structure your assignment.  The easiest way (for you and us) it to use the sub-headings of the assignment task and the associated assignment criteria as sub-headings to for your work.  This way, you can easily check that you have addressed all the assessment criteria and we can easily identify where you have addressed the criteria. We are duty bound to look for the relevant information when assessing an assignment and will try our utmost to find the information that is there. However, we cannot guarantee to spot a sentence about one thing buried in a paragraph or section about another thing and make the necessary inference that all the criteria have been satisfied. To check that you have fully addressed each criterion, read your assignment with the sufficiency descriptors to hand as well.

When thinking about a n advanced coaching qualification , we have to take into consideration that there are assignments to be done. The ILM makes efforts to clarify what these assignments are . S ometimes the level of detail they put in means that it’s not easy to understand exactly what is required in the assignments. What is needed is a brief summary.  

This blog is that brief summary about the ILM level 7 certificate in coaching for executives. This gives an overview of the assignments, and to explain a little about the purpose of them . It is a sister blog to one written about the I LM level 5 coaching qualification .  

Level 7 certificate in coaching: w hat is being tested with the assignments?  

For advanced qualifications that are at level 7, the ILM is rigorous in its process. These are flagship programmes, equivalent to a masters (in level, if not in the amount of work required!). So the expectation for the level 7 coaching qualification is that you:  

  • Can understand and explain various aspects of coaching, within an organisational context.  
  • Have done some reading and research and can draw on this in your writing.  
  • Have carried out the required number of coaching hours.  
  • Have reflected, in writing, on your coaching competence.  

They are not testing the quality of written English or grammar. Although level 7 programmes are equivalent to a postgraduate qualification, allowances are made for writing styles that isn’t at postgraduate level. They, and we, don’t want to exclude good coaches simply because their academic experience isn’t that strong.   

Level 7 certificate in coaching: what are in the three assignments?  

All ILM coaching qualifications have three assignments, that have the appropriate level of difficulty. For the level 7 certificate, the assignments are:  

  • 1. An essay .  “Understanding the context of coaching in a strategic environment”. The essay is broken down into 11 sections, each with their own title. Effectively, it is a series of shorter texts (3-400 words each). It is an opportunity for you to show your knowledge of these areas. A level of referencing is needed, to show that you have done some research and can use it.  
  • 2. Undertaking 20 hours of coaching at a senior level. To complete your coaching practice, and to produce a log and other supporting paperwork. Some of your coachees need to have levels of seniority in their organisation. It will give you insight into coaching people with these pressures and challenges.   • 3. Reflecting on your coaching: After completing the coaching, to analyse various aspects of how you coach. Also, to develop an action plan for continuous improvement

Who is the level 7 qualification for – typical candidates  

S ince 2014 we have been running ILM level 7 qualifications as open courses and in-organisation courses. Looking at participant profiles we see some interesting figures:

  • Sectors: education; transport; retail; NHS; local authorities; regulatory bodies

What unites them all, of course, is a passion for coaching. And what separates them is how they plan on deploying coaching. Some will use it as part of their daily job – head teachers and HR managers certainly do that. Some make it an “add on” that they can offer out to colleagues. And some use it to develop their freelance businesses. In all cases, being advanced in both skills and qualifications makes a huge difference.  

Is our coaching assessed by the ILM?  

As with the level 5 qualification, the ILM doesn’t set up specific evaluations of the coaching skills that learners have developed. They leave this evaluation to individual ILM centres to do. At Love Your Coaching we think this is a fundamental aspect of the learning process. As coaching is such an observable skill, we take great care to analyse  each coach, to get them to this level.  

We use the International Coach Federation’s core competencies matrix as our assessment tool. It is highly practical and allows us to analyse a coaching session to ensure that it hits all the competencies. Since 2014, we have seen all of our coach’s progress to an advanced level of coaching competency. This is a very important principle – people who want to become coaches want to be good or very good!  

Support offered by ILM centres  

Each ILM centre offers different levels of support for the assignment part of the qualification. Some devote much of the training room time to assignment writing. Others provide tutorial support after the training days have finished. Others outsource all of the support back to the ILM. This is a good guide to completing ILM assignments. In order to gain an ILM qualifications it is mandatory to complete and pass the required units consisting of various learning outcomes.

Salient points for consideration

  • ILM course/module will ask you to complete one or more assignments. They are usually presented in essays style format
  • Assignment questions will depend on the Levels of ILM module/s
  • The assignment requires you to prove that you understand of the learning outcomes
  • Understand clearly the assessment criteria to make sure you answer the question correctly

What is an ILM assignment?

The ILM assignment is a work-related test in the form of an essay question

  • It is an opportunity for you to demonstrate that you understand what have been taught and you can apply and can understand the principles correctly 
  • There will be a word count and it is usually in the region of 1,000 word per assignment

Most people studying for an ILM Award, Certification and Diploma don’t write essay regularly. Some of you maybe have been out of the academic environment for some time and writing a long assignment or essay can be challenging. So, don’t worry your tutor/coach will make sure that the syllabuses are clearly explained before you tackle the assignment. There will also be support provided should you require any help in completing these assignments. 

How to pass the assignment?

  • Understand clearly the learning outcomes – You must show the assessor that you have understood, grasped the content, and practical application of the learning outcome.
  • An example, if you were asked to ‘explain how to identify a problem ……’, your essay will need to show your understanding of the ‘root cause’ of the problem in the workplace, and your ability to manage the problem and the decision-making processes. Obviously, you can draw upon your previous experiences in your workplace.

If you understand the learning outcomes and the principles of working in the work place, you will understand the detailed process in completing the assignment/s.

You will need to consider the following:

  • Policies and procedure
  • The process of identifying problems
  • How to tackle the issue and why you need to do this?
  • Agree a course of action
  • Assign responsibility accordingly
  • Plan how to make decision, motivate, support and monitor progress

Are all assignments the same?

ILM offers many modules of assignments, so you may have the opportunity to choose its tasks to complete related to your experiences.

Learning outcomes are set according to the module/s. That means that the assessment criteria do not change. 

ILM assignment example questions (e.g. questions and answers)

The question will always be relevant to what covered/learnt and will always be work-based.

Below are good examples of prompt questions:

  • How   to identify, and apply project management tools?
  • What are the responsibilities  of the employer regarding workplace safety?
  • Conduct  a simple workplace/organisational SWOT analysis in the marketing context?
  • Outline  the benefits of effective team working/leading
  • Explain  the characteristics of different business marketing techniques
  • Analyse  how leadership and management theories may be applied
  • Describe  the importance of communication as a leaders and manager
  • Describe  constraints to amend priorities and plans
  • Explain  the marketing concept and its relevant in the organisation

How to approach the assignment

The first word/verb in the question that will give you the clue – it’s the verb.

‘Conduct’, describe’, ‘explain’, ‘list’, ‘analyse’, ‘discuss’ and ‘outline’  are all verbs asking different information required. It is good to reflect the past experience and use the learning outcome to answer the question.

The simple three-step technique below will apply to most assignment requirement.

1. Read the question carefully and understand them (i.e. apply the 5-W or 5-why analogy). 2. Respond to the question. 3. Check that you have fully answered the question

Look out for the verbs. There is a significant difference between ‘list’ and ‘describe’ . As you progress through the levels, the verb in the question is more related to ‘analyse’. This is a middle management or senior management question. The learning outcome in this example, is about how to manage larger team/s in an organisation.

ILM has a  verb glossary  for you to explore and understand.

How to structure your answers

Follow the structure of the ILM assessment criteria – i.e. hinds to help learners

Within the assignment paper, the ILM units are clearly laid out with the required outcomes for each section.

For example: (i.e. use these unit titles as headings in your assignment)

  • Section 1. Evaluate own ability to fulfil key responsibilities of leadership role
  • Section 2. Evaluate own awareness of emotions in shaping performance
  • Section 3. Evaluate own ability to set direction and gain commitment

Your answer to the assignment question?

The content should be logical.

Question example: Evaluate your own ability to fulfil key responsibilities of a leadership role.

The theory you want to assess yourself against and to use:

  • What the theory entitles
  • Your interpretation and your analyses
  • Provide references of sources used
  • Key responsibilities of the leadership role in your work place?
  • Where you work & what you do?

Your ability

  • Self-assessment
  • Appraisal forms
  • Workplace feedback processes and etc.

Practical application

  • What was successful, and what could you have done differently/better to achieve a different outcome
  • Judgement – how effective are you in fulfilling the key responsibilities of a leadership role?

Hi. My sister's employer has signed her up to a free Institute of Leadership and Management course (she felt she could not say no). But she is struggling with the course work, family committments etc. I have been trying to research example assignments to help as she has been out of education for many years and the course leader seems some what inept but cannot really find anything that can help. So aibu to suggest she backs out of the course? She is worried about loosing face at work which I understand. Can anyone point me in the direction of help for her re course work as I know if she could do this it would boost her self esteem no end. Wwyd?

Hi op...I did this about 3 years ago. If memory serves it's 3 x 2000 word essays? Time management, leadership skills, communication? What is it she's struggling with? The content or just having time to do it?

Had she asked her employer if they'd give her an hour a week to sit at work and do coursework? Does she know out to access the learning outcomes of the units? They should be on the ilm website. I'm not familiar with ilm but usually the learning outcomes set out everything that needs to be done for each unit and she can work through them one by one.

Hi, I did ILM a couple of years ago (but I think mine may have been level 4 looking at previous poster - it was one big assignment and a few bits of coursework). The tutor should be able to share past examples of coursework for an idea of structure. Your friend might want to pick things relevant to an area of her job she wants to gain more experience in or ask her manager for a relevant project that perhaps no-one has been able to concentrate on specifically and the aim is to do the research element of the assignment in work time, then the write up at home. Break the assignment up into chunks- again tutor will provide a basic structure and go from there. They will have an opportunity to send a draft to the tutor/marker who should give pointers as to how to improve or put missed bits in. It's a really good course and helped me to get my next job!

Thank you for your responses. The assignments are 6 1500/2000 word essays but she has really no idea where or how to start and the tutor seems useless. She is looking for examples to help her make a start but cannot find much online. I think part of the issue is confidence but she also has a sick husband and special needs child, there is always something that needs dealing with.

Hi, can any one help me with Ilm management level 3 unit M&l 38 ( manage a budget)?

I did ILM level 4, all I can say is that I felt it hugely time consuming, especially when working fulltime, it took me ages to complete, I would ask your tutor for more guidance to explain exactly what is meant by some of the terminology, this can help for getting the assignments completed, and also ask your boss for some time allowance either in work or at home for the work to be completed?

Anyone currently doing ILM or similar and finding it hard to decipher and get your head around the assignments feel free to give me yell / send a private message. They have this incredibly annoying, unhelpful and unnecessary way of making everything sound complex and the key to getting your head around it is by getting your head around the buzzwords, key phrases and references and converting it into plain simple English. When you've cracked the code and learned to cut through the shit and nonsense you actually find one or two select pieces of evidence are suitable for many units for example "Managing budgets" "Manage physical resources" "Manage the impact of work activities on the environment" You can kill several birds by stating how you manage a simple budget for the regular ordering, supply and delivery of items you need (gloves, aprons, stationery etc) and say you aim to try and order as many items from one supplier, buy in bulk to avoid extra charges and costs for delivery and then write out a simple way you keep a system for making sure you have what's needed. A simple diary with date items are delivered, date the next order is due and a simple means of staff letting you know what is running low and you need and what items are still stocked up ad you can skip this month That evidence stretches a lot further than you think it's just a case of getting to grips with the language and phraseology. Anyway as I say feel free to drop me a message if there's anything more specific anyone could use help with.

I'm just starting the level 3 in leadership and management, I just wanted to ask what the best way of setting it out is? My first is 314 LO1 should I do it as an essay or in paragraphs of criteria needed, I just need to get started this x

@Loobyloo5 I feel your pain - I am just starting my final assignment (of 5). For all of these we have a template where each Assessment Criterion is set out as a heading, also giving us the number of marks each section will be assessed on and how many marks we have to get to pass each section. I have typed on the template, answering each part of the question in the relevant section on the template, and submitted the whole thing, as that is what we were asked to do. I have passed all modules so far, but spent far more time on it than the guidance suggests. We haven't had to do 314. Our final one is Solving Problems and Making Decisions - I have to provide evidence as to why a particular problem is a problem, and then try to solve it (I don't think I have any data, I just know something is a problem because it is not being done). Good luck - I hope it will be worth it in the end but I am struggling with this one. I really need to be at work so I can look at files - there is a limit to what I can access remotely. I might have to book a day's leave and spend it at work, so I can use information I an only find in the office.

Hi, how did everyone get on with their ILM3 assignments? I failed my first assignment and cannot figure out where to start to fix it, so after a good old Google, I found this page! The trainer running the course is on holiday and my assignment 2 is due next week. I am now really concerned that I will fail assignment 2 as I have clearly not understood the question or tasks in assignment 1. Its been years since I have done anything like this and I'm really struggling to get my head into the right zone to write. The classes are fine and I understand the theory of the Leadership Styles well, for some reason I just can't translate this into written form?! I would really appreciate any guidance or assistance with this course. I find the template confusing and the assessors comments are minimal which offers me no direction as to what is missing from what I already submitted.

I am still trying to do Solving Problems and Making Decisions - I met with a colleague to try to get some evidence; she was helpful but there isn't much data in the organisation to either back up or refute what I am trying to demonstrate. I'm meeting another colleague next week to see if he can help with some data. It's painfully slow as I can't get any further until I have some data to work with.

Hi, a key thing that people often seem to miss is really making the theory contextual to their work/role. E.g if talking about data vs information what data vs information do you use in your role and how does in inform the decisions you make? If leadership styles, what kind of situations would a certain leadership style be appropriate etc.

Managing Performance When looking at performance management it can be defined as (1) ‘a process which contributes to effective management of individuals and teams in order to achieve high levels of organisational performance. As such it establishes shared understanding about what is to be achieved and an approach to leading and developing people which will ensure it is achieved.

’ We can see from this definition that managing performance is crucial to the overall performance of the organisation and meeting its goals and objectives.

This process must then be strategic but also link other aspects of the organisation such as individuals and teams. As defined above, performance management is ultimately about achieving high levels of organisational performance. As managers we must use performance management as a continuous process that aims to improve & develop the individuals in our team.

MITIE uses the below diagram to illustrate that the process is continuous. (2) Within my role as Admin Manager I have 3 people directly reporting in to me.

As a team we are largely responsible for the smooth running of the operations side of the business including planned and reactive tasks. The team operates across the contract as a whole so has responsibilities in numerous varied processes and tasks. Below I have highlighted some of the key responsibilities within this role in terms of performance management.

This is the first official opportunity to review an individual’s performance. Initial objectives and performance standards are also set at this time. Improvement and Development – I have to look for areas where the team can improve performance. Similarly I have to ensure the team has the skills and ability to complete their objectives. This involves development and training for the team and individuals. This is a 2-way process though and as a manager I must create a culture where the team and individuals can be at the forefront of their own development. * Appraisals – These are completed annually and are used to review performance of the individual.

During this process the objectives set previously are reviewed along with performance standards. Feedback is given both positive and negative if required. Future development plan is discussed and agreed with the individual. This is also an opportunity for the individual to discuss any problems or obstacles that they have encountered in trying to carry out their role. Furthermore this is also an opportunity to take action to improve poor performance. * Absence/leave – This involves managing planned leave as well as unplanned so team performance is maintained at the required level.

As highlighted above one of the key responsibilities I have as a manager is to set team objectives. These objectives must be set and then agreed with the team. Some examples of objectives I have set for the team are below: * Achieve a minimum of 96% overall KPI score for reactive task performance every month * Manage the planned maintenance tasks so 100% of statutory PPM’s are completed within legislative defined timeframe. * Manage all Priority 1 reactive requests for data centres & MTX’s to ensure zero SLA failures are incurred each KPI month.

Within the team I also have performance standards that I set, which are linked to the MITIE’s values. Some examples are below. (3) * Take pride in delivering and improving services to the client * Understand the clients requirements and try to exceed expectations * Use initiatives to resolve issues calmly and effectively * Promotes MITE by doing the best job possible and demonstrating passion for the quality of work done * Deliver the best service by showing flexibility in approach and being open to fresh thinking * Understand and implement strategies nd processes to generate profits in line with business targets and expectations * Understand what is expected of them in support of the client and how to deliver it * Work efficiently without wasting resources or time, understanding that this effects profit * Informs manager of factors that may impact on the business * Co-operate with colleagues and clients, work together and support each other to achieve team and client goals * Recognise the impacts of personal actions on reputation of the team, yourselves and MITIE * Prioritises workload to ensure personal and team goals are achieved * Make a positive contribution to the team and the organisation as a whole * Demonstrate support for others

Looking at the above we can see how many of the objectives and performance standards are linked. To achieve the objectives the team must work to the performance standards. Below I have highlighted an example of how the two are linked. The performance standards can be applied to all of the objectives in some way and do not change significantly throughout a review year. These standards are continuous and they outline the way in which the team works. Team Objectives differ as they have defined performance areas. Furthermore they can change frequently throughout a review year. When managing performance arguably the most critical element of the process is measuring the performance. This can be completed in a variety of ways and is done so against the team objectives and performance standards set. Measuring performance against objectives differs from that of performance standards. Below I have highlighted how I would measure performance against the objectives and performance standards.

In the above flowchart we can see how measuring performance against objectives involves many of the same methods. As managers we can use a combination of measures to get an overall picture of how the team is performing. Measuring objectives is usually a precise measurement with defined criteria for success and failure. For example the KPI score indicates the success and or failure of the above objectives. In the above flowchart I have highlighted the methods I use for measuring performance against the performance standards. To illustrate how a combination of measures is often required I have grouped them together. Looking at the above flowcharts we can see how objectives and performance standards need to work in unison to be successful.

All of the performance standards are there to help achieve the objectives and clearly indicate to the team what the expectations are. As the admin manager I need to use a combination of performance measures so I can effectively manage the team’s performance. If I know where we are in terms of performance I can then look at development and improvement opportunities. When measuring performance there are inevitably instances where the team or individuals are underperforming. An example of underperformance that has occurred from an individual is as follows: Within the admin team I manage there are 3 individuals with similar workloads and responsibilities.

Around 6 months ago one member of the team continually made errors and in some cases forgot to complete the weekly bookings for the engineers. The bookings are so the engineers in the field can access secure sites and complete routine and reactive maintenance. It is a crucial part of the role and if not completed it impacts negatively on the overall contract performance. After a few weeks of mistakes being made and bookings not being done I decided that a performance improvement plan needed to be implemented. Prior to completing this I had looked at the workload of the individual compared to the other team members and concluded that there was no difference. Next i looked at other factors that could be reasons for the individual performance.

In this process I looked at internal factors such as competences, methods of work, personal problems, medical and motivation. Examples of the external factors I considered were distractions, family ; relationships, finance and other team members. Most of these factors were discussed with the individual in an informal meeting to gain an understanding of how the individual thinks they are performing. The individual highlighted that during the time where they complete the weekly bookings they were distracted by phone calls, emails and other team members so couldn’t concentrate on the completing the task. Taking this feedback from the individual I was happy that the reason for underperformance was due to distractions and time management issues.

From here I asked the individual to go away and look at the tasks they need to complete in the week and suggest areas for improving their time management. The next step was to have a meeting with the individual to identify areas to improve the way they work to allow the task to be completed. It was agreed that 2 hours was required a week to complete the bookings. Using the individual’s feedback regarding time and the distractions I put together a method that would aim to remove the distractions. I suggested the following methods: * Put a 2 hour window in calendar to complete bookings each week between 10-12 * Put out of office on diverting to other team members for the 2 hours and close down outlook * Divert phone to other team members for 2 hours Move to location away from other team members to complete bookings In the process i looked to remove the distractions and give the task some structure by putting a timeframe to it. This was agreed by the individual and then cascaded to the other team members. When using this performance improvement technique I also had to consider what happens after it is implemented. To do this I used an improvement cycle which continues until the individual is performing at the required level. Below is an example of cycle: (4) For the above example we can see that after the plan stage I must measure the performance. This will involve using the techniques as highlighted earlier, in particular feedback from engineers. I must then compare these results with other members of the team.

This will help to see if the improvement process can be improved or needs amending. If any changes need to be made then they are implemented and the cycle starts again.
